This is a fully remote position, open to applicants in South Africa.
β’ Take ownership of a dynamic calendar by coordinating both internal and external meetings.
β’ Efficiently schedule appointments and effectively manage any changes or conflicts that arise.
β’ Prioritize meetings to ensure optimal use of time.
β’ Prepare meeting schedules and ensure all pertinent information is available in advance.
β’ Collaborate across various stakeholders and time zones as needed.
β’ Organize UK and international travel, including flights, trains, accommodations, and transfers.
β’ Construct clear travel itineraries and ensure all arrangements proceed smoothly.
β’ Handle last-minute changes and address travel issues as necessary.
β’ Coordinate reservations, bookings, and other logistical elements.
β’ Actively arrange sales meetings with both prospective and existing clients.
β’ Communicate with prospects and external contacts to manage availability.
β’ Oversee scheduling and follow-ups to confirm meetings.
β’ Track upcoming sales meetings and assist in maintaining an organized appointment pipeline.
β’ Collaborate with the broader team to align diaries with commercial priorities.
β’ Perform daily administrative tasks and manage correspondence.
β’ Oversee emails, documents, bookings, and other ad hoc requests.
β’ Assist in organizing meetings, events, and team activities as needed.
β’ Uphold confidentiality when handling sensitive information.
β’ Anticipate needs and proactively address issues before they escalate.
β’ Provide adaptable support across the organization as priorities shift.
β’ Prior experience as a Personal Assistant, Executive Assistant, or in a comparable organizational role.
β’ Exceptional diary and calendar management capabilities.
β’ Experience in arranging travel and coordinating comprehensive itineraries.
β’ Highly organized with a keen attention to detail.
β’ Professional and confident communication skills when interacting with clients, prospects, and senior stakeholders.
β’ Proactive approach and willingness to take initiative rather than waiting for direction.
β’ Ability to manage competing priorities in a fast-paced environment.
β’ Strong written and verbal communication abilities.
β’ Proficient in using common productivity, calendar, and communication tools.
β’ Dependable, discreet, and trustworthy.
β’ Experience supporting a founder, CEO, or senior executive is preferred, but not mandatory.
β’ Experience in a fast-growing or entrepreneurial environment is a plus, but not required.
β’ Previous involvement in sales administration, meeting coordination, or commercial support is advantageous, but not essential.
β’ Experience working across multiple time zones and arranging international travel is a plus, but not required.
