This is a fully remote position, open to applicants in Malaysia.
• Act as the primary contact for People & Talent inquiries from both managers and team members.
• Oversee administrative duties, which include drafting letters for promotions, transfers, and internal changes.
• Assist in managing the complete onboarding process, including setting up BambooHR and coordinating with hiring managers, Payroll, and IT.
• Lead the offboarding process, which encompasses conducting exit interviews, coordinating with IT, and managing access closures.
• Collaborate with Payroll and the People & Talent Officer on cross-border HR processes.
• Maintain tracking and documentation for probationary reviews.
• Provide support for in-house recruitment activities, including job postings, managing job boards, scheduling interviews, communicating with candidates and hiring managers, preparing offer letters, and handling pre-employment procedures.
• Assist with visa administration and reporting for benefit renewals.
• Contribute to the development of people policies.
• Coordinate internal recognition initiatives.
• Manage employee surveys and compile People & Talent updates for Townhalls.
• Ensure the accuracy of BambooHR records and act as the HRIS super user.
• Manage the HR Drive and team pages on The Base intranet.
• Generate monthly HR and financial reports and carry out internal HR audits.
• Ensure compliance with Malaysian employment laws, EPF, SOCSO, EIS, and other statutory obligations.
• Stay updated on employment laws, HR trends, and compliance changes.
• A Bachelor’s degree in Human Resources, Business, or a related discipline is preferred.
• 1–2 years of experience in HR coordination, HR administration, or a similar People & Talent position is preferred.
• Experience in supporting recruitment or talent acquisition activities.
• Knowledge of Malaysian employment laws and statutory requirements.
• Excellent written and verbal communication skills.
• Experience in, or a solid understanding of, diverse and multicultural environments.
• Possess empathy and emotional intelligence.
• Highly organized with strong time management capabilities.
• Attention to detail and a strong commitment to accuracy.
• High level of confidentiality, integrity, discretion, and professionalism.
• Familiarity with HRIS platforms; experience with BambooHR is an advantage.
• Proficient in Microsoft Office and confident in learning and utilizing new systems.
