This is a fully remote position, open to applicants in Arizona, +4 more states.
• Create precise client invoices in accordance with billing agreements and contracts.
• Authenticate temporary employees’ timesheets and expense claims.
• Address billing discrepancies in collaboration with internal teams and clients.
• Compile and execute weekly and monthly invoicing.
• Ensure timely and accurate payroll processing for temporary staff.
• Keep payroll records up to date and resolve employee inquiries.
• Input late timesheets and service logs, generate payroll reports, and reconcile any discrepancies.
• Follow up on outstanding timesheets.
• Manage new-hire onboarding processes, including documentation collection, background checks, and orientation.
• Provide essential onboarding materials, documentation, and training.
• Assist new employees and respond to their inquiries or concerns.
• Review LiveScan and TB test results.
• Oversee the virtual completion of Section 2 of the I-9 process.
• Conduct reference checks with supervisors and assess references.
• Ensure all compliance documentation, permits, credentials, and licenses are up to date and legally compliant.
• Maintain current knowledge of employment laws and regulations.
• Supervise employment paperwork, tax documents, and I-9 verifications.
• Monitor regulatory changes and adapt internal procedures accordingly.
• Track expiration dates for permits and licenses.
• Act as a liaison among clients, employees, and internal teams.
• Collaborate effectively with recruiters and account managers.
• Provide administrative support and guidance to employees.
• Prepare monthly CSS and oversight visit reports.
• Update employee records and monitor payroll and invoicing inboxes.
• Process personnel changes, including direct deposits and compliance metrics tracking.
• Train and audit junior Business Administration Specialists.
• Perform additional tasks as assigned.
• The position operates from 8:30 a.m. to 5 p.m. PST.
• Minimum of 1 year of leadership experience within CCE or 2 years in HR, credentialing, or payroll/billing administration in a high-volume setting.
• Strong comprehension of employment laws and regulations.
• Proficient in Microsoft Office Suite (Excel, Word, PowerPoint), relevant payroll/billing software, and Google Drive (Docs, Sheets, Forms).
• Exceptional attention to detail in paperwork and data entry.
• Outstanding organizational skills; capability to manage multiple tasks and meet deadlines.
• Strong verbal and written communication abilities.
• Team-oriented mindset.
• Capacity to handle highly confidential information with discretion.
• High School diploma or equivalent is required.
• A degree in business administration or a related field is preferred.
