This is a fully remote position, open to applicants in New York.
• Manage the complete execution of community and corporate pay cycles, both on-cycle and off-cycle, within Workday.
• Create and uphold payroll calendars, input deadlines, and audit/confirmation checkpoints throughout the portfolio.
• Oversee, mentor, and balance the workload of the Payroll Specialist team.
• Take responsibility for resolving payroll errors and implementing root-cause solutions.
• Develop and maintain documentation for payroll processes, controls, and business continuity coverage.
• Establish standardized intake and onboarding workflows for new hires, status changes, and new position requisitions.
• Collaborate with community and operations leadership on timesheet input standards and compliance.
• Manage payroll GL configuration in Workday and its integration with Yardi Voyager.
• Generate and verify payroll journal entries, accruals, and billbacks in conjunction with the accounting team.
• Reconcile payroll bank and clearing accounts; assist with month-end closing, intercompany allocations, and audit inquiries.
• Develop and sustain corporate and regional salary allocation methodologies in partnership with the VP of Accounting.
• Act as the primary relationship manager for the payroll services partner, overseeing case management, SLA tracking, and quarterly tax balancing reviews.
• Manage multi-state payroll tax obligations, including registrations, SUI rates, jurisdiction setup, and agency notice resolutions across six states.
• Supervise garnishments, W-2 season, year-end processing, and coordination of unemployment claims.
• Create and maintain payroll reports in Workday, contributing to portfolio labor metrics.
• Compile a monthly payroll input scorecard for community and regional leadership review.
• Report directly to the VP of Accounting and supervise Payroll Specialists.
• Support payroll operations across 37 senior living communities located in NJ, NY, PA, DE, MA, and CT, as well as corporate entities.
• Bachelor's degree in Accounting or Finance is required.
• 5–8+ years of progressive experience in payroll and/or payroll accounting.
• Experience in multi-state and multi-entity payroll environments is required.
• Experience with organizations of 1,000+ employees is strongly preferred.
• Proven fluency in GL/accounting processes: journal entries, account mapping, cost allocations, reconciliations, and close support.
• Familiarity with Yardi is a plus.
• Experience in designing payroll processes, including intake forms, input standards, and position setup workflows.
• Ability to drive accountability for data quality among field managers.
• Workday Payroll experience is strongly preferred, particularly in report writing with custom reports and calculated fields.
• Experience with a managed-payroll or BPO vendor relationship is a significant advantage.
• Experience in payroll or HRIS system implementation is a plus.
• Background in senior living, healthcare, or hospitality industries is a plus.
• Working knowledge of multi-state wage & hour regulations and payroll tax compliance in NJ, NY, PA, DE, MA, and CT.
