This is a fully remote position, open to applicants in United States.
• Oversee the biweekly payroll for employees located in various states.
• Assess changes in employee status, time entries, earnings, deductions, taxes, reimbursements, and payroll anomalies.
• Conduct pre- and post-payroll audits and address any discrepancies.
• Manage payroll information within Rippling and facilitate data integration between Rippling and Deltek Vantagepoint.
• Track work locations and assist with multi-state payroll registrations, tax accounts, withholding, and reciprocity obligations.
• Ensure compliance with federal, state, and local payroll regulations.
• Reconcile payroll registers, funding, tax submissions, benefit deductions, labor distribution, and the general ledger.
• Prepare and record payroll-related journal entries.
• Review and rectify labor distribution and payroll coding.
• Address employee payroll inquiries and liaise with HR, benefit providers, and payroll vendors.
• Assist with quarterly and year-end payroll processes, including W-2/W-2c reporting and payroll tax reconciliations.
• Support 401(k) administration and nondiscrimination testing efforts.
• Prepare audit schedules for payroll, workers' compensation, and retirement plans.
• Maintain payroll procedures, controls, calendars, and documentation.
• Conduct monthly balance sheet reconciliations.
• Investigate and resolve reconciling items and accounting discrepancies.
• Create and post both recurring and nonrecurring journal entries.
• Assist with the monthly, quarterly, and year-end closing processes.
• Review transaction coding and ensure financial information aligns with the general ledger.
• Provide support for accounts receivable, collections, cash applications, accounts payable, and employee expense reports.
• Prepare audit materials, ad hoc reports, and financial analyses.
• Maintain accounting records and uphold internal controls.
• Complete assigned tasks and deliverables punctually and within budget.
• Perform other related accounting and administrative responsibilities as needed.
• Bachelor's degree in accounting, finance, business administration, or a related discipline, or an equivalent mix of education and relevant experience.
• Two to five years of progressive experience in payroll and/or accounting.
• Practical experience in payroll processing and general ledger operations.
• Familiarity with payroll for employees across multiple states.
• Solid understanding of federal, state, and local payroll taxes, deductions, wage-and-hour regulations, and year-end payroll reporting.
• Experience in preparing balance sheet reconciliations and journal entries.
• Background in supporting the monthly financial closing process.
• Knowledge of GAAP and accrual accounting principles.
• Comprehension of the interplay between payroll, project costing, the income statement, and the balance sheet.
• Proficiency in Microsoft Excel, including formulas, lookups, pivot tables, sorting, filtering, and data reconciliation.
• Ability to protect personally identifiable information and maintain confidentiality of payroll and employee data.
• Strong written and verbal communication skills.
• Capacity to work independently while collaborating with Accounting, Human Resources, and Operations teams.
• Skill in prioritizing payroll deadlines and month-end closing responsibilities.
• Must reside near a major US airport.
• Required: Valid REAL ID or an acceptable alternative, such as a passport, for business air travel.
