Patient Resource Coordinator

This is a fully remote position, open to applicants in Arizona, +26 more states.

📋 Description

• Assist the Patient Services department and streamline the infusion admission process.

• Collaborate with and provide support to all Vivo Infusion departments.

• Serve as the first point of contact in the escalation matrix for callers.

• Schedule follow-up appointments to ensure continuity of care for current patients.

• Review, organize, prioritize, and escalate calls and tasks promptly.

• Handle a significant volume of incoming calls.

• Deliver immediate responses and solutions to callers.

• Triage calls according to need and priority, directing them to the appropriate department.

• Research and review patient charts to provide accurate information.

• Maintain log notes to ensure continuity of care and effective communication.

• Conduct data entry and perform accuracy audits.

• Document updates on referral progress in the referral tracking system.

• Review daily and weekly schedules for efficient scheduling.

• Organize and retrieve patient records in suitable file structures.

• Stay informed about insurance contracts, formularies, and requirements for drug copay assistance programs.

• Adhere to and uphold HIPAA guidelines.

• Maintain a working knowledge of referral tracking and EMR systems.

• Utilize Adobe Standard tools to compile, sort, and format PDF documents.

• Manipulate Excel spreadsheets to organize, condense, and prioritize data.

• Communicate effectively with insurers, referring office staff, patients, vendors, physicians, and both internal and clinical staff.

• Coordinate with the Patient Navigator, Medical Records Review, and Patient Resources teams regarding patient accounts, referrals, insurance, financial documents, prior approvals, and coordination of benefits.

• Use appropriate templates, naming conventions, formats, and email distribution lists for system notations and communications.

• Assist with assigned projects as needed.

• Update tracking systems and spreadsheets accordingly.

• Maintain patient records and confidentiality within the electronic medical record system.

• Attend necessary organizational, departmental, team, and performance meetings.

• Perform additional duties as assigned.


⛳️ Requirements

• A minimum of 1-2 years of relevant prior work experience is required; proven competencies may compensate for prior work experience.

• High School diploma or equivalent; an associate's or bachelor's degree is preferred.

• Intermediate proficiency in Microsoft Outlook, Excel, Word, and Teams.

• Familiarity with Medicare and commercial insurance benefits, medical authorizations, and billing is preferred.

• Knowledge of HIPAA regulations and medical abbreviations and terminology is preferred.

• Fluent in both written and spoken English.

• Exceptional written, verbal, communication, and interpersonal skills.

• Experience in supporting multiple managers and supervisors.

• Previous experience handling sensitive information while maintaining confidentiality.

• Must reside in one of the listed states at the time of employment.

• Travel may be required up to 10%.

• Overtime and weekend hours may be required during peak seasons and to meet business needs.

• Ability to perform essential functions satisfactorily, with reasonable accommodations available.

• Capable of regularly lifting/moving up to 10 pounds and occasionally up to 50 pounds.
