This is a fully remote position, open to applicants in Argentina, +5 more countries.
• Respond to patient inquiries and answer calls with professionalism and warmth.
• Manage patient intake from the first contact through to scheduling appointments.
• Verify eligibility and behavioral health benefits for both Medicaid and commercial plans.
• Utilize payer portals such as UHC, Cigna, and BCBS.
• Confirm details regarding copays, deductibles, coinsurance, out-of-pocket maximums, and estimated patient responsibilities.
• Assess whether insurance benefits apply to the specific services offered by the practice.
• Identify restrictions within networks, authorization requirements, and coverage limitations.
• Follow up with referred patients and oversee referral workflows.
• Schedule appointments and keep provider calendars organized.
• Monitor emails and facilitate communication between patients and healthcare providers.
• Update patient records and document interactions using Practice Better.
• Track pending referrals, intake requirements, and follow-up tasks efficiently.
• Provide general administrative support and executive assistance.
• Ensure HIPAA-compliant management of patient information.
• Escalate any unfamiliar insurance situations rather than making assumptions.
• At least one year of direct experience verifying mental or behavioral health insurance eligibility and benefits in the U.S.
• Prior experience assisting patients with reproductive mental health issues, infertility, pregnancy loss, or postpartum care is strongly preferred.
• Solid understanding of commercial insurance plans, Medicaid, and patient financial responsibilities, including copays, deductibles, coinsurance, and out-of-pocket maximums.
• Demonstrated experience using insurance payer portals and electronic health record (EHR) systems.
• Familiarity with Practice Better or similar EHR systems is preferred.
• Ability to meticulously read insurance cards and benefit information.
• Compassionate, empathetic, and trauma-informed communication style.
• Capability to work autonomously with minimal supervision.
• Must be reliable, proactive, adaptable, and accountable.
• Ability to adhere to structured intake forms and decision-tree workflows with minimal oversight.
• Excellent verbal and written communication skills.
• Proficient in managing follow-ups and maintaining organized patient records.
• Professional demeanor in handling sensitive and patient-facing interactions.
• Experience in collecting referrals, diagnostic documents, and insurance information.
• Proficient in speaking and writing English in a clear and professional manner.
• Relevant work experience is required.
• Must provide an NBI Clearance and/or Local Police Clearance prior to onboarding (mandatory).
• Availability to participate in video meetings with the camera on when necessary.
• Access to a reliable laptop or desktop computer.
• Stable high-speed internet connection (minimum of 25 Mbps).
