
Part-time Property Assistant – Temp to Perm

This is a fully remote position, open to applicants in Texas.
• Serve as the primary liaison for tenants and support property management in accordance with company policies, procedures, and standards.
• Acquire knowledge and skills in expense management, accounts receivable, facilities management, and tenant relations.
• Prepare and maintain daily accounting data.
• Assist with on-site activities related to a property or group of properties.
• Coordinate daily operations and special projects with vendors, including landscaping and janitorial services.
• Monitor and address tenant service requests using reporting software; manage and close work orders.
• Lead initiatives for tenant coordination and retention.
• Schedule building activities such as move-ins/move-outs, fire drills, and tenant events.
• Manage Google calendars for food trucks, events, on-call engineers, conference rooms, and security.
• Establish and maintain relationships with food truck vendors and coordinate weekly schedules as applicable.
• Oversee the building security access card system and manage access card assignments.
• Assist with the tenant move-in and move-out processes and related procedures.
• Support managers during regular property inspections.
• Maintain virtual and physical lease and project files.
• Aid in the upkeep of the Building Manual and tenant welcome packet.
• Contribute to the preparation of weekly asset management reports.
• Track and ensure current Certificates of Insurance for tenants and vendors using MyCOI.
• Assist with lease commencement letters, tenant rental coupons, operating expense escalation letters, and reconciliation letters.
• Update parking and access control cards for properties and tenants.
• Enter abstracts into Yardi, MRI, or other accounting software.
• Generate aged receivables reports and monitor outstanding items.
• Conduct initial rent collection communications via email.
• Prepare and maintain spreadsheets for submeter billing.
• Prepare tenant utility bill-backs and assist the Property Manager with tenant invoices and accounting tasks.
• Generate tenant late letters and default notices as instructed by the Property Manager.
• Maintain updated contact lists for building and tenant communications.
• Proficient in Excel and the Microsoft Office Suite.
• Ability to learn and work within various software platforms.
• Strong verbal, written, and organizational skills.
• Exceptional customer service abilities.
• Capable of completing assigned projects with minimal supervision and working independently.
• Preferred knowledge of security systems, card access, and online maintenance request systems.
• 2+ years of relevant work experience preferred.
• High School Diploma required.
• Undergraduate Degree preferred.
• Experience with MRI, Yardi, or Kardin is preferred.
• Must be able to sit for extended periods.
• Ability to lift files weighing up to 15 pounds, open filing cabinets, and bend or stand as needed.
• Required to walk properties over long distances in diverse conditions.
