This is a fully remote position, open to applicants in Slovenia, +3 more countries.
• Uphold brand integrity by ensuring all communications and operations are in line with brand standards.
• Establish and nurture strong relationships with suppliers to ensure seamless operations.
• Oversee shared email inboxes, taking initiative to address actions and resolve issues in a timely manner.
• Manage vendor block allocations and trip codes to maximize capacity and availability.
• Collaborate with the regional operations team to handle last-minute changes and emergencies, keeping tour staff and suppliers informed.
• Supervise all ENH requests from initiation to completion, working alongside the Groups department, Reservations team, Buying team, and tour staff management team.
• Engage in the emergency phone support rotation.
• Oversee local office maintenance needs on a monthly rotational basis when assigned.
• Assist in compiling regular supplier performance and financial metrics for management review.
• Manage operational accounting processes, ensuring timely validation and processing of supplier invoices while adhering to budgetary constraints.
• Investigate and resolve discrepancies in invoices related to both on-tour and overhead budgets.
• Work collaboratively with Finance and Operations teams to maintain audit trails and ensure compliance with business requirements.
• Cultivate, train, and maintain effective working relationships with suppliers.
• Support Global Sales and Brand teams by offering logistical and informational assistance concerning traveler arrivals.
• Participate in product evaluations and contribute to the creation of new products.
• Collaborate with the Customer Solutions team to resolve on-tour and post-tour issues.
• Coordinate logistical adjustments to tours in consultation with the Regional Operations Manager, ensuring timely updates for tour staff and providers.
• At least 3 years of experience in the tourism or travel industry.
• Familiarity with regional geography and a solid understanding of domestic travel logistics.
• Excellent organizational and time-management skills, with the capability to plan, prioritize, and manage multiple tasks effectively.
• A collaborative team player with outstanding communication skills, capable of working efficiently across cross-functional teams.
• A positive and proactive attitude towards problem-solving.
• Proficient in using Google Suite (Docs, Sheets, Slides, Gmail, etc.) for communication, documentation, and data management.
• Comfortable with booking platforms, shared inboxes, and internal reservation or supplier systems.
• Detail-oriented, with strong listening skills, and the ability to remain calm and effective under pressure.
• Flexible and adaptable, willing to work shifts, including weekends, to meet business needs.
