Operations Manager

This is a fully remote position, open to applicants in South Africa, +5 more countries.

📋 Description

• Take complete ownership of every product cycle from production order to retail availability.

• Monitor purchase orders and production schedules with contract manufacturers.

• Validate reorder lead times, secure production slots, and identify stock coverage risks.

• Oversee formula updates, reformulations, R&D contracts, and bench testing processes.

• Source raw materials, assess suppliers, request samples/specifications, gather pricing, and evaluate quality versus cost.

• Manage raw ingredient sourcing, documentation, material lot decisions, and production invoicing.

• Solicit and evaluate freight quotes, schedule pickups, and coordinate both domestic and international shipping.

• Facilitate customs clearance, customs bonds, TSCA documentation, FDA release, and cargo insurance.

• Serve as the logistics point of contact among manufacturers, freight forwarders, and the 3PL.

• Create inbound shipments and set up Shipfusion SKUs and inventory data.

• Monitor 3PL check-in procedures and address issues related to damaged, missing, or rejected units.

• Request, modify, upload, and maintain Certificates of Analysis and associated master spreadsheets.

• Coordinate label design processes, proofs, dies, estimates, label files, web-ready formats, and 3D bottle renders.

• Update product information, imagery, weights, dimensions, stock status, and product pages on Shopify and Amazon.

• Strategize Amazon FBA replenishment shipments around significant sales events and allocate inventory between 3PL and Amazon.

• Maintain master tracking spreadsheets and consolidate communications across email, Slack, and Asana.

• Potentially expand into demand planning, landed-cost/COGS tracking, vendor and 3PL performance management, regulatory compliance, SOP documentation, product launches, and support for EU/UK expansion.

⛳️ Requirements

• 3-5 years of experience as an Operations Manager within the supplements, nutraceuticals, or a related industry.

• Highly organized and detail-oriented.

• Proficient, or quick to become proficient, in logistics and import terminology, including freight quoting, customs/HTS/TARIC codes, cargo insurance, and 3PL operations.

• Strong skills in spreadsheets and systems.

• Familiarity with Shopify, Amazon Seller Central, a 3PL platform like Shipfusion or similar, Asana, and Google Sheets.

• Effective and proactive written communication skills across email, Slack, and Asana.

• Ability to maintain composure amidst changing timelines and to adapt plans when production, shipments, or stock coverage are modified.

• Background in supplements, CPG, consumer health, integrative wellness, or other regulated consumer goods is preferred.

• Experience in demand planning and reorder-point/safety-stock forecasting is a plus.

• Knowledge of landed-cost and COGS modeling is advantageous.

• Experience with regulatory documentation related to TSCA, FDA, GMP/NSF, import records, registrations, and renewals is beneficial.

• Exposure to EU/UK import-export processes, including EU TARIC codes, is a plus.

• Experience in SOP writing and process documentation is advantageous.

• Skills in vendor/3PL performance management and damage claim handling are a plus.

• Experience in packaging and component sourcing is advantageous.
