Operations Manager

This is a fully remote position, open to applicants in United States.

📋 Description

• Oversee the entire sample lifecycle for all product categories and seasons.

• Create and sustain a centralized sample management system that provides real-time visibility for the organization.

• Handle the management of inbound and outbound samples for creator photography, marketing, creative, executive, and wear-testing purposes.

• Monitor the journey of samples from vendor shipment through to internal distribution and return.

• Formulate standardized procedures for the handling, tracking, storing, and distribution of samples.

• Enhance sample workflows to boost efficiency and minimize delays.

• Maintain digital libraries containing sample imagery and approval records.

• Oversee sample requests from Product Development, Creative, Marketing, Merchandising, Social Media, Photography, Operations, and Executive Leadership.

• Prioritize competing requests and organize sample needs based on seasonal calendars, campaigns, launches, photoshoots, and creator collaborations.

• Coordinate sample readiness with product launch schedules and cross-functional deadlines.

• Collaborate with Creative and Photography on photoshoots, outfit planning, styling coordination, sample selection, preparation, delivery, returns, and inventory reconciliation.

• Act as the primary operational liaison for overseas vendors.

• Communicate with vendors via Email, WhatsApp, Slack, WeChat, and other platforms.

• Follow up on the status of samples, shipments, and missing items; escalate risks and facilitate resolutions.

• Directly supervise the Sample Coordinator through guidance, coaching, training, performance management, one-on-ones, and evaluations.

• Set priorities, distribute workloads, and establish accountability measures.

• Expand the Sample Operations function and suggest additional resources as needed.

• Coordinate sample-related activities across departments and lead status meetings and weekly updates for stakeholders.

• Train future team members on sample management standards and best practices.

• Develop dashboards and reports for sample status, vendor performance, and adherence to timelines.

• Analyze bottlenecks and propose process enhancements.

• Maintain inventory, tracking systems, digital filing structures, shipping records, documentation, and approvals.

• Create KPIs for sample turnaround time, timely delivery, and operational performance.


⛳️ Requirements

• Bachelor's degree in Fashion Merchandising, Product Development, Apparel Production, Business, Supply Chain, or a related discipline.

• 4+ years of experience in apparel product development, sample management, merchandising operations, or production.

• Experience collaborating with overseas factories and vendors.

• Familiarity with remote or hybrid work environments and the ability to work independently.

• Exceptional organizational and time management skills.

• Strong project management abilities with the capacity to juggle multiple priorities and deadlines.

• Self-motivated individual who requires minimal supervision.

• Creative problem-solving skills with a proactive, solution-oriented mindset.

• Professional maturity, excellent judgment, accountability, and a sense of ownership.

• Exceptional written and verbal communication skills.

• Comfortable operating in a fast-paced, high-growth environment.

• Capability to create processes, enhance systems, and drive operational excellence.

• Advanced skills in Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.

• Proficiency in Adobe Illustrator and Adobe Photoshop.

• Familiarity with Miro, Canva, Asana, and PLM systems is preferred.

• Experience with sample tracking, inventory management, shipping, or project management software is a plus.
