This is a fully remote position, open to applicants in Philippines.
• Coordinate, schedule, and monitor international shipments of machinery, components, and spare parts from dispatch through to delivery.
• Prepare and review shipping documentation, which includes commercial invoices, packing lists, and certificates of origin.
• Oversee stock levels and maintain precise inventory records for machinery and spare parts.
• Collaborate with freight forwarders, couriers, and customs agents to address delays and ensure seamless transit.
• Audit contractor and vendor invoices against recorded hours, agreed rates, and actual expenses.
• Monitor expenses and discrepancies, highlight issues with vendors, and follow up until resolution.
• Support management with basic cost tracking and variance reporting.
• Organize operational documentation, digital files, and vendor records efficiently.
• Compose, edit, and manage professional email communications with international suppliers, logistics partners, and internal team members.
• Manage general administrative workflows to ensure daily operations run smoothly.
• Strong self-starter mentality; take full responsibility for assigned projects, follow up autonomously, and achieve results without constant supervision.
• 1–3 years of experience in administrative, logistics support, or operational roles (Entry to Mid-Level).
• Exceptional written and verbal communication skills in English.
• Proficient in Google Workspace (Docs, Sheets, Drive) and/or Microsoft Office (Word, Excel, Outlook).
• Strong familiarity with spreadsheets and digital collaboration tools.
• Understanding of international shipping concepts, including Incoterms and freight documentation.
• Previous exposure to EU shipping regulations is an advantage.
• Reliable internet connection, a dedicated quiet workspace, and a functional computer setup for remote work.
• Highly organized, detail-oriented, solution-focused, and comfortable working independently across various time zones.
• Full-time commitment required.
• Ability to overlap for at least 4 hours with Central European Time (CET) business hours, typically from 09:00 to 17:00 CET.
