This is a fully remote position, open to applicants in Louisiana, +1 more state.
• Deliver operational and administrative assistance by managing recurring tasks and addressing one-off requests.
• Facilitate HR logistics, oversee insurance renewals, coordinate payroll, handle charitable registrations, ensure compliance requirements, and manage office/visibility materials.
• Act as the main point of contact for organization-wide inquiries and guide them to the relevant person or team.
• Provide project coordination and event planning assistance for internal, external, donor, and blue- and grey-sky activation events.
• Assist with event logistics, travel arrangements, vendor coordination, RSVPs, and visibility materials.
• Support the Chief of Staff, CEO, and Fractional COO by anticipating their needs and managing administrative/operational requests.
• Organize emails and inboxes, highlight priorities, draft standard responses, and ensure urgent matters are addressed promptly.
• Schedule and confirm meetings across various time zones, resolve scheduling conflicts, and safeguard time for priority tasks.
• Take notes, document action items, and monitor follow-ups until completion.
• Assist Board and Committee functions by scheduling meetings, sending out invites, managing calendars, and compiling/distributing board packets.
• Exceptional attention to detail and commitment to follow-through.
• Ability to adapt and manage competing, shifting priorities with ease.
• A minimum of 1 year of experience in a similar executive support, administrative, or coordinator position.
• Proficient in Google Workspace (Gmail, Calendar, Drive, Docs, Sheets).
• Strong skills in scheduling and calendar management.
• Excellent written and verbal communication abilities.
• Proactive, organized, flexible, and reliable.
• Preferably holds an Associate's or Bachelor's degree; relevant experience in a similar role may be accepted in lieu of a degree.
• Nonprofit experience is preferred.
• Exposure to board or governance matters is preferred.
• Experience in event planning is preferred.
• Proficiency in Salesforce or other CRM software is preferred.
• Experience supporting multiple executives simultaneously is preferred.
• Interest in or connection to climate, disaster response, or clean energy is preferred.
• Ability to work independently and remotely without requiring constant supervision.
• Submission of a cover letter and resume is required.
