This is a fully remote position, open to applicants in Oregon.
• Coordinate, plan, organize, and implement daily operational requirements.
• Collaborate with the Leadership team on provider and staff onboarding, scheduling, payroll processing, financial management, patient service recovery, and various operational tasks and projects.
• Support center operations for all staff and providers while providing periodic coverage for Operations functions.
• Manage and enhance schedules according to center coverage requirements and team member preferences.
• Assist with time-off requests and workforce management for open shifts and unexpected events.
• Ensure the accuracy of payroll information and collaborate with payroll to address issues and reconcile timecards.
• Monitor and report center patterns and KPIs including volume, trends, attrition rates, and productivity levels.
• Aid in licensing, credentialing, privileging, supervisory agreements, onboarding, orientation, training, and precepting.
• Guide new hires and team members through licensing and credentialing procedures while collecting necessary documents.
• Coordinate system setup for payroll, scheduling, and medical records.
• Provide administrative support for providers, including expense reporting, supply ordering, time-off processing, and changes in provider status.
• Deliver center support, encompassing inventory management and supply ordering.
• Oversee and follow up on IT and Construction/Facilities helpdesk requests.
• Assess patient satisfaction metrics and assist in service recovery initiatives.
• Collect stakeholder feedback, redesign inefficient processes, and remain updated on workforce operational trends.
• Offer marketing and logistical assistance for special events and outreach initiatives.
• High School Diploma or equivalent is required.
• A minimum of 1 year of administrative experience is necessary.
• Proficiency in Microsoft Office Suite: Word, Excel, and PowerPoint.
• Familiarity with scheduling and/or payroll systems is essential.
• Exceptional judgment, interpersonal, communication, oral communication, problem-solving, self-management, writing, customer service, teamwork/collaboration, and relationship management skills.
• Capability to utilize or acquire the technical knowledge required for the role.
• Ability to frequently stand, walk, sit, drive, and visit centers.
• Capability to frequently bend, squat, and reach.
• Ability to lift/carry up to 50 pounds.
• Ability to push/pull up to 50 pounds.
