This is a fully remote position, open to applicants in Philippines.
• Oversee incoming communications, including calls, emails, texts, and chats from pharmacies and clients regarding prescriptions, prior authorizations, and lab inquiries, adhering to established service levels.
• Resolve e-prescription transmission issues to guarantee that medications reach pharmacies promptly.
• Handle administrative tasks related to medications, such as pharmacy transfers, transitions from brand to generic medications, and non-clinical prescription questions.
• Monitor, document, and escalate cases of missing prescriptions, refill requests, and symptom-related issues to the RN or NP as necessary.
• Provide administrative assistance for lab requests, which may include GeneSight testing, EKGs, and other external diagnostic services.
• Upload lab results to the EMR for review by providers.
• Confirm the completion of scheduled lab appointments and follow up with clients as required.
• Oversee and triage incoming faxes, ensuring documents are uploaded to client records and directed to the appropriate provider.
• Ensure precise and timely documentation of tasks related to prescriptions, labs, and faxes within the EMR.
• Prepare and organize draft notes in the EMR to assist Nurse Practitioners with medication refills and follow-up care.
• Process and manage requests for the release of information (ROI), escalating complex cases to an RN when necessary.
• Provide clients with treatment summaries or documentation from their medical records upon request.
• Communicate with clients to provide updates on prescription or lab statuses, scheduling needs, and follow-up requirements.
• Assist RNs and NPs during urgent or crisis situations by performing delegated administrative tasks, such as contacting emergency services when directed.
• Appropriately route requests to Care Team members and complete ad hoc tasks as assigned by RNs and NPs.
• Consistently achieve established KPIs and SLAs to ensure prompt, accurate, and efficient support for nursing operations.
• Post-secondary coursework or certification in healthcare administration, medical office assisting, or a related discipline is advantageous.
• At least 1–2 years of experience in a healthcare, pharmacy, or medical office support capacity.
• Understanding of prescription workflows, pharmacy communication, and fundamental medical terminology.
• Experience with electronic medical records (EMRs) and document management systems.
• Exceptional organizational skills with the capacity to manage multiple tasks while ensuring accuracy in a fast-paced setting.
• Strong written and verbal communication abilities, including professional interaction with clients and collaboration with nursing staff.
• Good judgment and the ability to identify when issues should be escalated to an RN or NP.
• Comfortable working in a remote, virtual, or distributed care setting.
• Must be able to reliably work U.S. Eastern Time (EST) hours.
