This is a fully remote position, open to applicants in South Africa, +3 more countries.
• Assist in configuring, building, and maintaining the backend of SimplePractice.
• Facilitate the transfer of client charts and clinical data from Practice Fusion and paper files to SimplePractice while ensuring no records are lost.
• Integrate Updox fax, Converge payment processing, and third-party bookkeeping into SimplePractice's unified billing and portal ecosystem.
• Support administrative workflows for the office relocation on January 1st, including updates for provider credentialing addresses, adjustments to the phone system, and synchronization of the website.
• Oversee overlapping professional and personal calendars.
• Coordinate travel schedules for continuing medical education (CME) and streamline daily appointments.
• Process psychiatric prior authorizations.
• Manage prescription refill workflows through the EHR.
• Organize electronic and uploaded document backlogs.
• Handle practice emails and secure messaging, prioritizing urgent clinical alerts over routine inquiries.
• Act as the primary point of contact for patients and their families.
• Navigate sensitive interactions involving anxious clients, child custody desk requirements, and adolescent behavioral contexts.
• Recognize and escalate urgent patient risk signals or clinical emergencies to Dr. Wakil according to established practice protocols.
• 4 to 10 years of experience as a virtual assistant or practice manager in a medical environment.
• Experience in psychiatry, mental health, or pediatrics is strongly preferred.
• Practical experience with Electronic Health Record (EHR) systems.
• Familiarity with SimplePractice is strongly preferred.
• Knowledge of Practice Fusion, digital fax systems (Updox), and digital billing platforms.
• Demonstrated tech-savviness and adaptability to HIPAA-compliant communication platforms, including Microsoft Teams, Slack, and Google Workspace.
• Strict compliance with HIPAA regulations, privacy laws, and medical-legal boundary guidelines.
• Professional fluency in English.
• Spanish-speaking ability is preferred to cater to the local Houston demographic.
• High emotional intelligence, a calm demeanor under pressure, strong organizational skills, and a patient-first approach.
• Must be able to process payments via Wise; eligible payment locations include South Africa, the United Kingdom, the United States, and the Philippines.
• 100% remote work environment.
• $50 birthday bonus.
