Meeting & Event Planner

This is a fully remote position, open to applicants in District of Columbia, +1 more state.

📋 Description

• Supervise the planning, coordination, and execution of NAIS events.

• Manage designated event logistics projects from the development of timelines to on-site or virtual execution.

• Lead project management initiatives, including timeline creation, task monitoring, cross-team collaboration, and ensuring timely and budget-friendly delivery.

• Collaborate with program leaders to align logistical execution with content objectives and audience requirements.

• Assist in site selection, price negotiations, and contract processes for institutes, workshops, board meetings, leadership retreats, and specialty gatherings.

• Support the planning, coordination, and execution of large-scale conferences.

• Coordinate tasks, manage vendors, oversee budgets, and facilitate cross-team communication.

• Provide insights into event budgets and financial forecasting.

• Maintain awareness of event planning standards, industry best practices, and emerging trends.

• Ensure uniformity and quality across conferences, institutes, workshops, board meetings, and virtual programming.

• Foster collaboration, transparency, and continuous improvement throughout NAIS.

• Carry out additional duties as assigned.


⛳️ Requirements

• Bachelor’s degree is preferred.

• Over 5 years of progressive experience in event logistics, meeting planning, or related areas.

• Strong strategic thinking abilities and capability to execute complex tasks across multiple projects.

• Proven knowledge of event-related contracts.

• Experience in leading RFP processes and negotiating contracts with event vendors and venues.

• Ability to work independently while contributing effectively to a collaborative team environment.

• Proficiency in event management platforms, Zoom, and Microsoft Office Suite.

• Quick learner of new technologies.

• Exceptional written, verbal, and interpersonal communication skills.

• Capability to lift 20 pounds.

• Willingness and ability to travel extensively to events and conferences.
