This is a fully remote position, open to applicants in Florida, +2 more states.
• Take ownership of the conference calendar while overseeing timelines, budgets, and vendor relationships from the planning phase through to post-event wrap-up.
• Identify and negotiate with vendors for booth activations, promotional items, signage, and lead capture initiatives.
• Administer event-specific budgets, monitor expenditures, and proactively highlight any variances.
• Represent Sidecar Health at conferences and sponsorship events, ensuring proper booth setup, staff coordination, and management of day-of logistics.
• Process leads captured at booths, create and maintain outreach toolkits for RSMs, and track follow-up efforts until conversion.
• Oversee sponsorship deliverables, including gifts, signage, and follow-up with sponsors.
• Keep the broker collateral library up to date and well-maintained.
• Assist with email marketing, marketing automation platforms, and basic social/content initiatives.
• Collaborate with Sales/RSMs, the CMO’s office, and external vendors; ensure project tracking is maintained in Jira/SharePoint.
• Develop repeatable event playbooks and vendor specification libraries.
• A minimum of 3 years of experience in event planning/coordination or marketing coordination, preferably in B2B, healthcare, or insurance/broker-facing marketing.
• Demonstrated experience in vendor negotiation, including the independent management of budgets and vendor relationships.
• Comfortable with travel and capable of managing events on-site; adept at handling high-pressure, fast-paced logistics with composure.
• Excellent written communication skills; proficient in drafting communications for brokers and RSMs while adapting tone as needed across various channels.
• Basic understanding of insurance and broker channels is advantageous; familiarity with broker/carrier relationships and compliance or filing considerations is a plus.
• An organized self-starter who can handle multiple simultaneous events and marketing deliverables with minimal supervision.
• Experience with lead capture tools, CRM/pipeline handoff, marketing automation platforms, and project tracking tools such as Jira and SharePoint is beneficial.
• Candidates must reside in GA, OH, TX, or FL.
