Marine Logistics Operations Specialist

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Oversee the complete process of international shipments for marine spare parts and technical supplies using air, sea, courier, and road freight methods.

• Organize and track urgent deliveries to vessels, ports, shipyards, and other specified locations around the globe.

• Collaborate with freight forwarders, port agents, customs officials, warehouses, airlines, shipping companies, courier services, and other logistics partners.

• Work with port agents and other stakeholders to ensure vessel deliveries align with schedules and port-call requirements.

• Manage shipment consolidations and movements through bonded warehouses as necessary.

• Monitor shipment milestones and proactively engage with logistics partners to secure timely delivery.

• Track international shipments from initial collection to final delivery, providing timely updates to customers and internal stakeholders.

• Prepare, review, and oversee shipping and customs documentation necessary for international freight movements.

• Ensure that shipment information and accompanying documents are accurate, complete, and appropriately recorded.

• Identify potential delays, documentation issues, customs challenges, or other operational problems and escalate them promptly.

• Communicate effectively with customers, agents, suppliers, and logistics partners across various countries and time zones.

• Maintain precise shipment records and update information in ERP, TMS, or other internal systems.

• Review freight costs, invoices, and shipment-related charges for correctness.

• Assist with operational reporting, procurement coordination, and shipment planning as needed.

• Handle multiple active shipments and priorities concurrently while ensuring accuracy and responsiveness.

• Support urgent operational needs and follow-ups related to time-sensitive marine logistics movements.

⛳️ Requirements

• A bachelor's degree is mandatory.

• Degrees in Logistics, Maritime Studies, Economics, Supply Chain Management, Business, or a related area are preferred.

• Candidates holding a bachelor's degree in another field may also be considered if they possess relevant logistics, freight forwarding, shipping, or similar professional experience.

• Ideally, 2–3 years of relevant experience in freight forwarding, international logistics, shipping, supply chain operations, or a related field.

• Experience in international freight forwarding is highly preferred.

• Background in marine logistics, ship spares, or vessel deliveries is a considerable advantage but is not mandatory.

• Exceptional written and verbal English communication skills are crucial.

• Familiarity with international shipping procedures, documentation, and freight coordination is essential.

• Knowledge of Incoterms, shipping documents, customs processes, bonded warehouses, and multimodal transportation is beneficial.

• Experience with ERP, TMS, freight forwarding, or comparable logistics systems is preferred but not required.

• Proficient in Microsoft Office, especially Excel and Outlook.

• Strong organizational and time-management abilities, with the capacity to manage multiple time-sensitive shipments concurrently.

• Excellent attention to detail and the capability to maintain accurate shipment records and documentation.

• Strong problem-solving skills and the ability to respond swiftly to operational challenges and changing shipment needs.

• Proactive, reliable, and comfortable in a fast-paced international logistics environment.

• Capable of working independently in a remote setting while ensuring consistent communication and responsiveness.

• Must reside within Metro Manila.

• Availability to work Monday to Friday, from 1:00 PM to 10:00 PM PHT; 2:00 PM to 11:00 PM PHT during the first month of training.
