πŸ“‹ Description

β€’ Provide support for strategic sourcing, contracting, administration, and continuous management of hotel and venue agreements throughout the event portfolio.

β€’ Oversee the daily procurement workflow from sourcing to contract execution and subsequent contract management.

β€’ Evaluate hotel, venue, and room-block agreements to ensure compliance with approved contracting standards and templates.

β€’ Handle routine contract negotiations with hotels, venues, and third-party sourcing partners.

β€’ Assess room rates, room blocks, concessions, commissions, rebates, attrition, cancellation terms, rate protection, construction/renovation provisions, and other commercial conditions.

β€’ Identify any deviations from contract standards and report significant exceptions to the Director of Venue Procurement and/or Legal.

β€’ Coordinate the process of revisions, redlines, clean agreements, final approvals, signature routing, and documentation of executed contracts.

β€’ Assist with hotel and venue sourcing efforts, prepare and distribute RFPs, and organize proposals and responses.

β€’ Create comparison summaries that include rates, concessions, financial terms, contractual obligations, and risks.

β€’ Monitor contract status, redlines, approvals, deadlines, and subsequent actions.

β€’ Manage routine amendments and adjustments to room blocks within approved parameters.

β€’ Act as the primary contact for hotel partners, CVB partners, sourcing agencies, and housing providers on a day-to-day basis.

β€’ Oversee deliverables, encourage timely responses, and ensure compliance with procurement procedures from third parties.

β€’ Review commissions, rebates, and financial concessions; assist with reconciliation, auditing, and reporting processes.

β€’ Maintain contract templates, negotiation playbooks, SOPs, procurement tools, documentation, and contract records.

β€’ Identify recurring negotiation challenges and suggest enhancements to templates and processes.

β€’ Support preferred terms and agreements for repeat use with strategic hotel partners.


⛳️ Requirements

β€’ Minimum of 5 years of experience in venue sourcing, hotel sales, hospitality operations, meeting planning, or procurement.

β€’ Profound understanding of hotel contracts, room blocks, attrition, cancellation, concession management, and group housing practices.

β€’ Proven experience with Cvent technology solutions, including sourcing/RFP distribution, venue search and evaluation, and supplier relationship management.

β€’ Experience collaborating with hotel brands, convention centers, CVB/DMO partners, and housing providers.

β€’ Advanced skills in Excel, Smartsheet, and data analysis/reporting tools.

β€’ Strong project management capabilities to handle multiple sourcing, contracting, and event support projects simultaneously.

β€’ Exceptional written and verbal communication skills, including experience in coordinating contract negotiations and stakeholder communications.

β€’ Highly organized with a keen attention to detail and the ability to balance competing priorities in a fast-paced environment.

β€’ Experience in developing and maintaining process documentation, templates, and operational best practices.

β€’ CMP, CMM, or similar industry certification is preferred.

β€’ Experience in supporting a multi-event or large-scale tradeshow/event portfolio is preferred.

β€’ Familiarity with convention-center and complex citywide hotel contracting is preferred.

β€’ Knowledge of master agreements, multi-year agreements, and hotel term agreements is preferred.

β€’ Experience with third-party sourcing and housing providers is preferred.
