This is a fully remote position, open to applicants in United States.

📋 Description

• Oversee the design, implementation, and continuous enhancement of a centralized schedule template build function for clinician onboarding and schedule modifications.

• Establish the comprehensive operating model for schedule template build requests, encompassing intake, approval, prioritization, execution, quality review, escalation, and performance monitoring.

• Collaborate with Practice Operations, Clinical leadership, Technology, EHR implementation teams, and other key stakeholders to identify requirements, clinician needs, system limitations, and dependencies.

• Develop and maintain scalable Standard Operating Procedures (SOPs), workflows, job aids, and team processes across different markets and service lines.

• Set service expectations, Service Level Agreements (SLAs), decision-making rights, escalation procedures, and communication routines with stakeholders.

• Build, oversee, and nurture a team of schedule build analysts.

• Cultivate relationships with local operations teams and clinicians to gather feedback, facilitate adoption, and enhance processes.

• Track process performance, capacity, request volume, turnaround times, quality outcomes, and stakeholder feedback.

• Evaluate schedule templates, operational feedback, and access/utilization trends to pinpoint optimization opportunities.

• Spearhead schedule template optimization initiatives in collaboration with operations, clinicians, clinical leadership, and Technology.

• Create scalable processes, standards, and feedback mechanisms for ongoing improvement.

• Convert operational insights into actionable recommendations and materials for leadership.

• Manage projects from conception to execution, overseeing work plans, dependencies, obstacles, and operational transitions.


⛳️ Requirements

• A Bachelor’s degree is required.

• At least 5 years of experience in healthcare scheduling operations is necessary.

• Previous experience in people management is essential.

• Familiarity with EHR systems, preferably athena, as well as scheduling, service desk, or workflow management processes is required.

• Experience in building or scaling a centralized operational function, shared service, or support team is required.

• Proven experience in developing SOPs, workflows, business requirements, service expectations, or operational playbooks is necessary.

• Experience collaborating with clinical, operational, and technology stakeholders is preferred.

• Ability to work closely with senior leadership and cross-functional stakeholders is essential.

• Experience in optimizing supply and demand dynamics or scheduling optimization is required.

• Strong skills in process design and operational implementation are necessary.

• Demonstrated ability in cross-functional collaboration and requirements definition is required.

• Capability to translate clinician needs and business requirements into scalable processes is essential.

• Strong people leadership skills, including hiring, training, management, and team development are necessary.

• Excellent project management skills are required.

• Strong written and verbal communication skills are essential.

• Comfort in working within systems-oriented environments and with technology teams is necessary.

• Strong judgment and problem-solving capabilities are required.

• Ability to establish trusted relationships with operations teams, clinicians, and cross-functional partners is essential.

• Demonstrated inclusivity and cultural awareness.

• Skill in evaluating workflows and schedule templates for optimization is necessary.

• Willingness to travel as needed, up to 30%.

• Ability to meet specified physical requirements, including lifting or moving objects up to 25 pounds.
