This is a fully remote position, open to applicants in United States.
• Take ownership of the rolling demand-capacity forecast for all active projects, backlog, and pipeline.
• Ensure the standard work breakdown structure and planned hours are maintained across various portfolios.
• Model planned-hour utilization and capacity exposure by project, portfolio, discipline, and phase.
• Convert utilization, backlog, and pipeline conversion metrics into hiring indicators and staffing recommendations.
• Provide inputs regarding capacity and cost basis for pricing decisions related to proposals.
• Collaborate with Business Development to prioritize prospective projects in the forecasting model.
• Organize weekly resourcing meetings to identify and address staffing conflicts.
• Act as the intake and routing point for all capacity-related requests.
• Escalate any unresolved cross-functional resourcing conflicts.
• Maintain variance reporting on plan versus actuals and highlight milestone drifts and assignment gaps.
• Enhance the quality of schedule and resourcing data, correcting discrepancies in WBS, timesheets, cost estimates, and assignments.
• Co-manage the definitions of utilization, backlog, and conversion-rate metrics in partnership with Finance and Business Development.
• Document the data model, metric definitions, and key assumptions.
• Present demand-capacity forecasts to executive and senior leadership teams.
• Coordinate shared pipeline, capacity, and financial data among Business Development, Finance, Client Services, and engineering leadership.
• Report on capacity constraints that could impact proposals, schedules, or hiring plans.
• Foster cross-functional alignment without direct authority.
• Own the system of record for demand-capacity forecasting and published metrics.
• Integrate CRM, project management, and timekeeping inputs into a reliable capacity view.
• Develop and maintain reporting for leadership, Finance, and Client Services.
• Enhance forecasting, data, and reporting workflows through automation and AI tools.
• Meet deliverables and deadlines while performing related assigned duties.
• 5–8 years of experience in professional services operations, resource planning, or project operations.
• Ideally, experience in architecture, engineering, construction, or consulting sectors.
• Proven ownership of a demand-capacity or resource forecast used for staffing and hiring decisions.
• Strong understanding of professional services economics, including fixed-fee and time-and-materials contracts, margin mathematics, burn rates, and backlog quality.
• Excellent analytical skills.
• Advanced proficiency in Excel.
• Experience in building models from incomplete or inconsistent data sets.
• Ability to interpret and validate results effectively.
• Capable of communicating clearly and persuasively with executives and vice presidents.
• Ability to work strategically while also focusing on detailed WBS levels.
• Demonstrated use of AI tools such as Claude, ChatGPT, or Copilot for analysis, automation, or reporting purposes.
• Bachelor's degree in business, engineering, construction management, analytics, or a related field, or equivalent applicable work experience.
• Availability to work US Mountain Time hours, approximately 9 a.m. to 5 p.m., Monday through Friday.
• Preferred: experience with professional services automation software, such as BigTime.
• Preferred: familiarity with project management platforms such as Teamwork, Asana, or Smartsheet.
• Preferred: experience with CRM systems like HubSpot or Salesforce.
• Preferred: knowledge of Power BI, Tableau, or Looker.
• Preferred: experience in building lightweight AI-assisted automations, scripts, API integrations, or data pipelines.
• RMCP or a similar resource management credential is desirable.
