This is a fully remote position, open to applicants in United States.
• Oversee and manage the organization’s contract lifecycle platform, ensuring that contract records are accurate and up to date.
• Monitor contract expiration dates and facilitate timely renewal reviews.
• Coordinate the review, routing, processing, and quality assurance of designated low-risk contracts.
• Maintain an inventory of existing contracts and evaluate ongoing contract needs in collaboration with stakeholders.
• Manage DocuSign workflows, which include preparing, routing, tracking, and filing documents.
• Handle the Legal Department’s shared inbox by responding to, triaging, and directing requests appropriately.
• Oversee the FreshService ticketing system and track legal service requests along with their timelines.
• Coordinate and facilitate grant submissions via Submittable.
• Provide support for service lines, regulatory initiatives, accreditation efforts, licensing applications, waiver programs, and strategic projects.
• Manage the Board governance platform and ensure governance records and meeting materials are maintained.
• Organize logistics and scheduling for Board and committee meetings.
• Prepare and distribute Board notices, agendas, supporting documents, and correspondence.
• Accurately record and maintain minutes for Board and committee meetings.
• Keep official Board records and archives updated in OnBoard, SharePoint, and other systems.
• Coordinate initiatives for Board recognition and appreciation.
• Provide administrative, operational, and project support to the Legal Operations Manager and Chief Legal Officer.
• Conduct legal research and assist in drafting and organizing legal documents, contracts, and correspondence.
• Maintain legal files and monitor deadlines for court documents and other legal materials.
• Assist in ensuring compliance with applicable laws and regulations.
• Liaise with internal departments and collaborate on legal, governance, and contract administration workflows.
• Recommend and promote process improvements.
• Perform additional duties and special projects as assigned.
• Bachelor’s degree in Business Administration, Legal Studies, Paralegal Studies, Public Administration, or a related field is required.
• A Master’s degree is preferred.
• At least five (5) years of progressively responsible experience in legal operations, contract administration, executive administration, board governance, compliance, or a related administrative field.
• Experience in supporting legal, executive, or corporate governance functions is preferred.
• Familiarity with coordinating contracts, document management, or legal workflow processes is preferred.
• Proficiency in American Sign Language (ASL) is strongly preferred.
• Outstanding attention to detail and thoroughness.
• Ability to prioritize multiple assignments, manage competing deadlines, and maintain organized systems, files, and workflows.
• Sound judgment and strict confidentiality when dealing with sensitive information.
• Clear, professional, and effective written and verbal communication skills.
• Strong critical thinking and problem-solving abilities.
• Proficiency in contract management systems, electronic signature platforms, board governance software, Microsoft Office Suite, SharePoint, and other business applications.
• Ability to work collaboratively in a virtual office environment.
• Capability to occasionally lift and/or move up to 10 pounds.
