📋 Description

• Oversee the daily logistics and administrative functions related to learning, training, leadership development, credentialing, and specialized learning programs.

• Handle intricate training calendars, cohort timetables, facilitator availability, learner registrations, workshops, and leadership development activities.

• Manage multiple programs and activities concurrently, ensuring timelines, schedules, and deliverables remain on target.

• Act as the primary point of contact for learners, facilitators, business partners, vendors, and other stakeholders.

• Manage learner communications, such as invitations, confirmations, reminders, schedule updates, and program details.

• Organize facilitator schedules, session logistics, meeting arrangements, training materials, and delivery requirements.

• Assist with learner enrollment, registration, attendance monitoring, completion records, and program administration.

• Keep precise records of learning programs, calendars, documentation, and participant information.

• Prepare and disseminate learning materials, communications, agendas, and program resources.

• Track timelines and follow up on outstanding tasks to ensure deadlines and commitments are fulfilled.

• Organize meetings and events, including scheduling, logistics, participant communication, and follow-ups.

• Collaborate with learning, leadership development, training, and business teams to devise effective solutions.

• Assist in vendor coordination and administration for external learning providers and facilitators.

• Utilize learning management systems, scheduling tools, Microsoft Office, and administrative platforms to oversee workflows.

• Conduct quality and accuracy checks on schedules, learner records, communications, and materials.

• Identify scheduling conflicts, operational challenges, or missing information and facilitate solutions.

• Maintain organized documentation in compliance with organizational policies and program specifications.

• Aid in reporting and tracking of participation, attendance, completion, and operational metrics.

• Contribute to process improvements that enhance coordination efficiency and the learner experience.

• Manage program administration and learner information in accordance with confidentiality and data privacy standards.


⛳️ Requirements

• Proven experience in program coordination, learning operations, training coordination, administrative coordination, project coordination, or a related field.

• Experience in managing complex calendars and coordinating multiple concurrent programs or events.

• Exceptional organizational and scheduling skills, with a keen eye for detail and follow-through.

• Ability to juggle competing priorities, deadlines, and a high volume of requests.

• Excellent written and verbal communication skills.

• Advanced proficiency in English is required.

• Capability to communicate professionally with learners, facilitators, vendors, and business stakeholders.

• Prior experience supporting training, learning, leadership development, project management, or program operations is preferred.

• Strong expertise in scheduling, calendar management, and administrative systems.

• Familiarity with Microsoft Office or similar productivity tools.

• Valid, local legal authorization to work in Brazil or Mexico at the time of hire.
