IT Asset Management, IT Procurement Operations Specialist

This is a fully remote position, open to applicants in Virginia.

📋 Description

• Collaborate with vendors to acquire IT hardware, software, licenses, and renewals.

• Monitor purchase orders, lead times, shipments, and delivery logistics.

• Ensure technical specifications align with SPA’s IT and cybersecurity standards.

• Maintain documentation for ordering, fulfillment, receiving, and IT intake processes.

• Receive, verify, and process invoices for IT equipment, software, subscriptions, and services.

• Reconcile invoices with purchase orders, contracts, receipts, and delivery confirmations.

• Address invoice discrepancies with Finance and Procurement to guarantee timely payments.

• Keep records that support audits and procurement reconciliation.

• Oversee hardware asset lifecycle activities, including inventory management, assignment, refresh, and retirement.

• Reconcile discovery data with asset records and address any discrepancies.

• Manage software license entitlements, installations, compliance, and reconciliation.

• Analyze consumption against entitlements to enhance utilization and minimize costs.

• Maintain lifecycle documentation and ensure audit-ready controls.

• Align asset records with CMDB/CSDM structures.

• Assist with CMDB relationship mapping, asset classification, discovery coverage, and data quality.

• Support ITAM readiness and platform enablement initiatives.

• Connect procurement activities with downstream ITAM asset and entitlement records.

• Validate asset creation, purchase-order matching, and record accuracy.

• Ensure lifecycle integrity from acquisition through retirement.

• Generate reports and KPIs that support IT governance and audit requirements.

⛳️ Requirements

• U.S. Citizenship.

• Experience in IT procurement operations, hardware ordering, vendor coordination, and invoice reconciliation.

• Knowledge of procure-to-pay processes and vendor lifecycle management.

• 1–4+ years of experience in IT Asset Management, HAM, SAM, or related areas.

• Familiarity with ServiceNow ITAM modules (HAM/SAM) or comparable platforms.

• Strong analytical abilities along with keen attention to detail and data quality.

• Understanding of SOC 2, SOX 404, NIST 800-171, DFARS, and FedRAMP compliance frameworks.

• Entry-level analysts with 0–6 months of experience in ServiceNow ITAM/HAM/SAM may also be considered.

• Preferred: Experience with ServiceNow CMDB, CSDM, and Discovery.

• Preferred: ServiceNow HAM/SAM certifications.

• Preferred: Strong communication and vendor management capabilities.
