Intake Specialist

This is a fully remote position, open to applicants in South Africa.

📋 Description

• Respond to inquiries from prospective families in a timely and professional manner.

• Engage with parents interested in ABA services for their children.

• Serve as a compassionate, patient, and reassuring initial point of contact.

• Collect and accurately document essential intake and family information.

• Clearly and professionally explain the intake process.

• Consistently follow up with prospective families.

• Maintain ongoing communication throughout the intake process.

• Identify appropriate inquiries and assist in progressing them through the necessary intake stages.

• Keep precise and current records in relevant systems.

• Ensure information is accurately captured and handled with professionalism.

• Balance responsiveness and efficiency while being sensitive to each family's situation.

• Communicate professionally with internal teams about prospective families and the intake status.

• Ensure prospective families receive timely updates and clear next steps.

⛳️ Requirements

• Prior experience in customer service, client care, intake coordination, or a similar customer-facing role.

• Exceptional verbal and written communication skills in English.

• Clear, professional, and easily comprehensible speaking style.

• Comfortable interacting with American clients and families.

• Compassionate, patient, and emotionally mature demeanor.

• Skillful in managing sensitive or emotional conversations with care and professionalism.

• Strong organizational abilities and attention to detail.

• Dependable and consistent in follow-ups.

• Capable of building trust and rapport without making families feel rushed or pressured.

• Comfortable working independently in a remote setting.

• Ability to manage multiple inquiries while upholding a high standard of service.

• Experience in healthcare administration, patient coordination, medical intake, behavioral health intake, ABA or autism services, social work or community services, customer service or client care, lead management, or healthcare-related client coordination is a plus.
