This is a fully remote position, open to applicants in Philippines.
• Promptly address new inquiries received via phone calls, website forms, emails, texts, referrals, social media, and various other lead sources.
• Initiate outbound calls and engage with new leads within the defined response-time standards.
• Conduct comprehensive immigration intake interviews to collect detailed personal, family, immigration, criminal, employment, and procedural histories.
• Determine the general nature of immigration issues without offering legal advice.
• Document filings, entries and exits, government encounters, court matters, deadlines, and other pertinent information.
• Acquire initial documents and create accurate intake summaries for attorney review.
• Schedule consultations, collect consultation fees, send instructions and reminders, and work to minimize no-shows.
• Follow up with unscheduled, missed, undecided, and older leads; document all attempts and manage the pipeline effectively.
• Enter and maintain prospective client information, statuses, notes, documents, tasks, reminders, and referral sources in Docketwise and/or the CRM.
• Prepare for consultations by verifying intake information, questionnaires, payments, documents, dates, deadlines, and any missing information.
• Record consultation outcomes, address administrative queries, and escalate substantive legal questions to attorneys.
• Confirm engagement agreements and initial payments, send Professional Service Agreements, update retained status, initiate onboarding, and transfer clients to the Case Manager and legal team.
• Manage referral information and connect with successful clients for reviews and testimonials.
• Safeguard confidential information, adhere to SOPs and scripts, and provide professional, empathetic client service without guaranteeing outcomes or providing legal advice.
• A minimum of 2 years of experience in legal intake, U.S. immigration law, or a similar high-volume professional client-intake environment.
• Significant experience in handling telephone-based client intake.
• Exceptional spoken and written English skills.
• Strong active listening abilities.
• Capability to gather detailed information while maintaining control of conversations.
• Excellent client service skills.
• Strong discipline in follow-up procedures.
• Experience with CRM or case management systems (Docketwise, Clio, MyCase, or similar).
• Proficient documentation and note-taking abilities.
• Capacity to manage a high volume of incoming leads or customer service experience.
• Strong organizational and time-management skills.
• Comfort in discussing professional fees and consultation requirements.
• Ability to recognize when questions necessitate attorney involvement.
• Capability to follow scripts, SOPs, intake questionnaires, and workflows while maintaining a natural tone.
• Ability to work independently and consistently during U.S. Eastern Time business hours.
• Reliable high-speed internet and a professional remote work environment.
• Dependable computer equipment and a suitable remote workspace.
• Strong phone communication skills and comfort in client-facing interactions.
• Empathetic listening abilities and cultural sensitivity.
• Skill in working with clients from diverse backgrounds and accurately spelling names.
• Self-starter mentality with the ability to work independently.
