This is a fully remote position, open to applicants in Oregon, +1 more state.
• Facilitate daily program administration tasks, including data entry and preparation for meetings.
• Organize and oversee participation records, reports, and process documentation across SharePoint and other platforms.
• Inspect records for precision, rectify errors, eliminate duplicates, and standardize naming conventions and filing processes.
• Assess new system functionalities, assist with requirements gathering, support data quality control, and create training materials and guides.
• Conduct research on customers, contractors, incentives, and program specifications, summarizing the findings effectively.
• Aid in process redesigns, operational enhancements, and the development of reporting tools.
• Prepare and dispatch physical program documents and HEA reports to customers who do not have email access.
• Assist with communications to customers and contractors through phone and email channels.
• Guide participants throughout the enrollment process, ensuring participation and providing follow-up support.
• Help manage and direct incoming calls, ensuring that inquiries are logged and routed appropriately.
• Support customers in understanding eligibility, required documentation, and the status of applications/projects.
• Collaborate with program staff, contractors, and community partners to facilitate project progress.
• Escalate participant and process issues to support the development of the program.
• Applicants must be residents of Oregon or SW Washington.
• Excellent attention to detail, organizational abilities, and problem-solving skills under tight deadlines.
• Proficient in Microsoft Office applications, including Excel, SharePoint, and PowerPoint.
• Familiarity with Power BI is advantageous.
• Strong writing and reporting capabilities.
• Ability to work autonomously and juggle multiple priorities effectively.
• Exceptional communication skills, exhibiting patient and compassionate etiquette in phone and email interactions.
• Experience in customer service or program navigation, encompassing application, enrollment, or intake support.
• 2–5 years of experience in nonprofit, residential contracting, community organizing, environmental advocacy, or related fields.
• Bilingual proficiency in Spanish is a plus.
• If applicable, must meet all DOT qualification standards and adhere to relevant federal, state, and local transportation regulations.
• Authorization to work in the country where the position is based without employer sponsorship or assistance is required.
