This is a fully remote position, open to applicants in United Kingdom.
• Lead the management of housing and delegates for various events.
• Oversee comprehensive registration processes for high-volume in-person, hybrid, and virtual events.
• Create, test, and disseminate event communications.
• Administer databases, including data entry, list generation, and analysis.
• Act as the primary point of contact for attendee and client registration inquiries within established SLAs.
• Set up program communications, reporting, operating procedures, deadlines, escalation paths, and onsite strategies.
• Keep documented process trails and ensure compliance with client/internal systems.
• Address complex exceptions and provide onsite leadership for priority programs.
• Analyze reporting and provide recommendations to stakeholders.
• Manage confidential invitee data and personally identifiable information in line with compliance guidelines.
• Coordinate attendee logistics, including transportation, accommodations, gift sizing, and other relevant data points.
• Supervise rooming lists, hotel submissions, pickup monitoring, reservations, VIP requirements, billing instructions, and reconciliation.
• Direct strategy and execution for complex, high-profile, multi-hotel, and concurrent programs.
• Independently resolve intricate issues related to hotels, delegates, capacity, services, and data.
• Evaluate operational, room-block, attrition, service, and financial risks and propose mitigation strategies.
• Review contractual agreements and offer guidance to clients and internal teams.
• Produce event materials, including name badges, tent cards, place cards, departure notices, confirmations, agendas, and signage.
• Pack, order, and ship event supplies; maintain shipping grids and monitor deliveries.
• Assist event project managers with logistics, production, and onsite implementation.
• Handle post-event attendee reporting.
• Mentor and train Coordinators, Associates, and new team members.
• 5-7+ years of experience in Attendee Data Management, Housing and Delegate Management, and/or Event Technology, including meeting planning and coordination.
• Strong familiarity with Cvent is preferred.
• Proficient in Microsoft Office, particularly Excel (comfortable using the VLOOKUP function) and PowerPoint.
• Experience with event platforms such as Cvent, Aventri, Certain, Swoogo, Rainfocus, Eventbrite, or other registration website platforms is preferred.
• Experience in scheduling and managing 1-on-1 meetings is advantageous.
• Capable of managing multiple projects at once.
• Excellent written and verbal communication skills across all levels.
• Knowledge of industry trends, new suppliers, services, and best practices.
• Client-focused and adaptable to client needs and styles.
• Self-motivated individual who can take direction and work independently.
• Flexible and willing to work beyond regular business hours, including evenings and weekends.
• Willing to travel as necessary to be onsite at events and/or troubleshoot remotely.
• Must be eligible to perform the required work and travel without needing employer sponsorship or additional work authorization.
