This is a fully remote position, open to applicants in California.
• Assist in the complete lifecycle of current grants, emphasizing grant contracting, reporting, data accuracy, and collaboration across functions.
• Oversee the contracting process for new grant agreements, which includes managing award letters, conducting agreement reviews, securing authorized signatures, documenting in Salesforce, and handling award information requests.
• Transition new grants from the development and contracting phase to active grants management.
• Prepare materials for sync-up meetings and draft initial transition documents.
• Manage the grants management workflow in Asana, which encompasses tasks, reminders, deadlines, and adjustments to scopes of work, budgets, and significant dates.
• Organize grants management meetings, distribute necessary materials, take minutes, and document follow-up items.
• Oversee the shared email inbox by sorting messages, directing responses, logging activities in Salesforce, and tracking follow-ups.
• Maintain the grants management SharePoint site, including folder organization and document permissions.
• Foster relationships across departments to facilitate coordination of grants and competitive contracts.
• Participate in ROI initiatives, special projects, and process enhancements across Resource Development.
• Must be 100% remote within California; residency in California is required.
• A minimum of 1.5–2 years of experience in an administrative role supporting grants in a grants development or management office.
• Proficient, or willing to become highly proficient, in Salesforce CRM and Asana work management platform.
• Capability to swiftly learn new software applications.
• Strong attention to detail, including the ability to extract data from documents, accurately enter it into a database, and identify typographical mistakes and discrepancies.
• Experience with intricate scheduling and meeting coordination is advantageous.
• Familiarity with the California Community Colleges is a plus.
