📋 Description

• Take charge of the entire lifecycle for federal, state, and local grants, encompassing pre-award planning, application support, award setup, budgeting, accounting, compliance, reporting, reimbursement, monitoring, and closeout.

• Oversee the grant portfolio for four schools in West Virginia, with plans for expansion to additional schools and states as the organization progresses.

• Analyze grant award documents, terms, conditions, budgets, restrictions, reporting requirements, and deadlines, translating these into accounting and operational workflows.

• Keep grant ledgers and spending trackers updated, recording expenses and revenue, revising monthly forecasts, and monitoring balances against budgets and timelines.

• Reconcile grant revenue and expenses with the general ledger across various systems, including accounting, payroll, procurement, reimbursement, and reporting.

• Prepare and post journal entries for grant-related revenue, payroll, wages, expenses, allocations, reimbursements, and allowable costs.

• Evaluate expenditures for allowability, allocability, reasonableness, documentation, and compliance.

• Prepare and oversee invoices, cash requests, reimbursement requests, drawdowns, and funding applications.

• Create or supervise financial and programmatic grant reports.

• Manage reporting and compliance requirements specific to West Virginia, including documentation for CSP grants.

• Track variances, underspending, overspending, compliance risks, and missed funding opportunities; suggest corrective measures.

• Facilitate grant budget amendments and revisions.

• Aid in grant applications and renewals.

• Maintain thorough, organized, and audit-ready grant files.

• Assist in compliance audits and monitoring reviews, coordinating responses accordingly.

• Oversee grant closeout procedures, including reconciliations, final reports, balances, and documentation.

• Collaborate with Finance and Accounting during monthly closeouts and clarify the impact of grants on financial statements.

• Work with school and operational leaders to ensure that grant-funded expenses are allowable, documented, and accurately charged.

• Provide training and guidance on grant requirements, allowable costs, budgeting, documentation, reporting, and compliance.

• Enhance controls, accuracy, efficiency, and visibility regarding grant performance.

• Develop and implement standardized, scalable grant management methodologies.

• Act as a subject matter expert and primary contact for assigned grants, coordinating with both internal teams and external funding agencies.


⛳️ Requirements

• Bachelor’s degree in Accounting, Finance, Economics, Business, Public Administration, Education Administration, or a related field.

• Must be willing to travel to support assigned brick-and-mortar schools.

• Over 5 years of experience in grant management, grant accounting, or financial management, with a proven track record of managing grants through various stages of the grant lifecycle.

• Proven experience in managing federal and state grants, including budgeting, expenditure tracking, reconciliations, reporting, compliance, reimbursement, and closeout.

• Experience in nonprofit, education, public sector, charter school, or other highly regulated grant-funded environments.

• Direct knowledge of West Virginia grant requirements, reporting practices, and compliance expectations.

• Strong grasp of grant accounting principles and the ability to link grant requirements with general ledger activities.

• Advanced skills in Microsoft Excel, including PivotTables, VLOOKUP/XLOOKUP, data analysis, and maintaining detailed financial trackers.

• Ability to manage multiple entities, grants, reporting systems, deadlines, and competing priorities with a high degree of accuracy.

• Excellent written and verbal communication skills, capable of conveying financial and compliance requirements to accounting, school, and operational teams.

• Strong analytical, organizational, problem-solving, and project management abilities.

• Open to residents of West Virginia.

• Relevant professional experience with West Virginia nonprofit, education, or grant-funded organizations.
