This is a fully remote position, open to applicants in Virginia.
• Facilitate activities that support the Board of Governors and the Disciplinary Review Committee, ensuring that meetings, communications, documentation, and follow-up are executed with precision and professionalism.
• Take charge of governance projects, including entity management and other emerging initiatives.
• Prepare and disseminate agendas, schedules, meeting materials, and communications; accurately produce minutes and track action items.
• Maintain confidential governance and disciplinary records, as well as repositories, databases, tracking tools, and case management systems.
• Oversee volunteer onboarding and offboarding processes, which include conflict-of-interest disclosures, oaths, system access, and supporting documentation.
• Assist with the annual DRC nominations process, which entails managing applications, meetings, interviews, communications, and logistics.
• Coordinate logistics for Board, DRC, nominations, governance, and training activities, including scheduling, travel arrangements, and meeting support.
• Collaborate with senior executives, Board members, volunteers, and colleagues across the CFA Institute.
• Aid in the development of training materials, presentations, workshops, and working-group activities.
• Manage reimbursements, invoices, and administrative documentation related to governance and committee activities.
• Familiarize yourself with established processes, take ownership, and identify opportunities for enhancing efficiency and effectiveness.
• Proven track record of successfully managing detailed, deadline-oriented tasks across multiple priorities, ensuring a high level of accuracy and follow-through.
• Strong executive presence and communication capabilities, with the discernment to engage confidently and professionally with senior and C-suite stakeholders, Board members, and volunteers.
• Experience in providing high-level administrative, operational, legal, or governance support where discretion and meticulous attention to detail are critical.
• Experience in preparing professional agendas, meeting materials, minutes, communications, or other formal documentation.
• Clear ability to manage confidential and sensitive information appropriately.
• A proactive, self-starting approach and the capacity to take ownership without waiting for detailed instructions.
• A diverse, adaptable skill set with a history of successfully handling a variety of responsibilities rather than being confined to a narrowly defined role.
• Excellent organizational and stakeholder management skills, with the ability to keep multiple individuals, actions, and deadlines on track.
• Confidence to learn established processes and propose improved approaches when opportunities arise.
• Proficiency in Microsoft Office applications and collaboration tools.
