This is a fully remote position, open to applicants in Canada.
• Oversee daily bookkeeping and administrative accounting tasks.
• Manage financial documents such as bills, invoices, and receipts.
• Monitor cash flow by tracking incoming and outgoing funds for the business.
• Upload, organize, and maintain financial receipts and records systematically.
• Create monthly budgets for experiential leadership events.
• Process vendor invoices and coordinate payments to stakeholders post-events.
• Follow up on pending client invoices and assist in the collection of payments.
• Organize recurring administrative and logistical tasks for monthly off-site leadership events.
• Handle routine event preparation tasks and basic facility requirements, including venue setup.
• Communicate with vendors, stakeholders, and others to ensure events proceed smoothly.
• Provide consistent day-to-day administrative support while monitoring tasks, deadlines, payments, and operational needs.
• Ensure business operations continue during the founder's absence, including during extended off-the-grid mountaineering trips.
• Identify and proactively follow up on outstanding items.
• Maintain organized records, documentation, schedules, and operational data.
• Manage basic recurring marketing and administrative responsibilities.
• Assist with the company's daily social media operations and maintain content schedules.
• Provide general marketing assistance.
• Establish reliable systems for tracking outstanding tasks, invoices, payments, and event logistics.
• Ensure business continuity and serve as a trusted operational resource.
• Previous experience in administrative, operations, bookkeeping, or executive support positions.
• Strong organizational abilities and keen attention to detail.
• Comfortable managing financial records, invoices, receipts, and routine bookkeeping activities.
• Capable of independently handling recurring responsibilities and deadlines.
• Excellent written and verbal communication skills in English.
• Comfortable coordinating with vendors, clients, stakeholders, and service providers.
• Highly reliable and able to work with minimal supervision.
• Strong follow-through, with a proactive approach to completing outstanding tasks.
• Able to oversee multiple responsibilities without losing track of details.
• Comfortable taking ownership of standard business operations.
• Experience with accounting or bookkeeping software.
• Familiarity with invoicing and accounts receivable/payable processes.
• Proficient in spreadsheets and financial tracking.
• Knowledge of cloud-based business tools and document management systems.
• Experience managing social media platforms and basic marketing tools is a plus.
• Previous experience supporting a founder, entrepreneur, or small business owner is desirable.
• Experience coordinating events, retreats, workshops, or off-site programs is favorable.
• Background in leadership development, coaching, consulting, or experiential learning businesses is a plus.
• Experience managing vendor relationships and event logistics is advantageous.
• Experience supporting social media or basic digital marketing efforts is a plus.
• Previous roles requiring a high level of independence and ownership are preferred.
