This is a fully remote position, open to applicants in United States.
• Cultivate a deep understanding of priorities, progress, challenges, risks, and forthcoming decisions across Rayda.
• Participate in leadership and company-wide meetings.
• Establish strong collaborative relationships with department leaders.
• Recognize issues or gaps that may need the CEO's attention.
• Create succinct Founder Briefs summarizing key developments, risks, decisions, and follow-ups.
• Maintain awareness of Rayda’s globally distributed team dynamics.
• Oversee and manage the company-wide commitments tracker.
• Monitor commitments, responsible parties, deadlines, dependencies, blockers, and progress status.
• Proactively follow up with owners before commitments become overdue.
• Identify stalled or declining commitments and understand the underlying reasons.
• Escalate significant issues as necessary.
• Translate CEO priorities and ideas into actionable, clear plans.
• Clarify desired outcomes and identify suitable owners and stakeholders.
• Define key actions, milestones, dependencies, and timelines.
• Coordinate with relevant departments and teams.
• Monitor progress and highlight blockers.
• Keep the CEO updated without needing direct management of each initiative.
• Assist department heads in enhancing clarity, accountability, coordination, and follow-through.
• Follow up on agreed actions and deadlines.
• Facilitate cross-functional work and coordinate activities across multiple departments.
• Identify emerging operational issues and escalate persistent or significant concerns.
• Differentiate between matters that require CEO attention and those that can be resolved elsewhere.
• Prepare the CEO for key meetings and decisions.
• Track CEO commitments, decisions, and follow-ups.
• Identify stalled or low-momentum priorities.
• Shield the CEO from unnecessary operational distractions while ensuring essential information is communicated.
• Respectfully challenge the CEO when priorities or focus seem inconsistent.
• Prepare internal updates, presentations, documents, and briefing materials.
• Coordinate company-wide communications and follow-ups.
• Translate leadership decisions into clear actions and designated ownership.
• Ensure crucial information reaches the appropriate parties.
• Organize internal offsites, leadership sessions, hackathons, team gatherings, and other company initiatives.
• Manage logistics, stakeholders, timelines, and follow-through.
• Collaborate with internal teams and external service providers as necessary.
• Provide operational support for external events when required.
• Coordinate flights, accommodations, transportation, and travel itineraries.
• Communicate travel plans and logistics well in advance.
• Arrange important appointments as needed.
• Anticipate logistical requirements surrounding travel and significant commitments.
• Strong sense of ownership with the ability to identify issues, take initiative, and ensure follow-through without constant oversight.
• Exceptional organizational and prioritization abilities, capable of managing multiple priorities, commitments, and deadlines simultaneously.
• Strong judgment to discern what requires CEO attention, what should be escalated, and what can be independently resolved.
• Excellent written and verbal communication skills, with confidence in engaging employees, department heads, senior leadership, and external stakeholders.
• Proven ability to perform effectively in fast-paced, high-responsibility, and ambiguous environments.
• Strong execution and coordination capabilities, particularly across various teams and stakeholders.
• Ability to proactively track commitments and translate agreed actions into tangible outcomes.
• High level of discretion and maturity in handling confidential or sensitive information.
• Confidence to respectfully challenge senior stakeholders and ask direct, constructive questions when necessary.
• Strong curiosity and willingness to gain a comprehensive understanding of various business functions, including Product, Sales, Marketing, Engineering, Finance, Operations, and People.
• High adaptability and ability to respond effectively as priorities shift.
• Experience in startup operations, business operations, Founder’s Office, executive operations, strategy, consulting, project/programme management, investment banking, or other demanding environments is advantageous but not mandatory.
• Previous Executive Assistant experience is not required; exceptional early-career candidates demonstrating strong judgment, ownership, and operational capability are encouraged to apply.
