This is a fully remote position, open to applicants in Philippines.
• Take charge of daily finance operations, which encompass payables, receivables, reconciliations, payroll administration, office finance management, and compliance preparation.
• Prepare and send progress claims and invoices to volume builders and service customers.
• Oversee debtor follow-up activities, generate weekly ageing reports, manage overdue-account escalations, and handle recurring maintenance billing.
• Maintain and continually update a 13-week rolling cash flow forecast.
• Reconcile job costs from simPRO with Xero and identify any unbilled jobs, unclaimed variations, uncharged materials, and warranty costs.
• Report gross profit by builder, job type, division, and technician while flagging any below-target margins.
• Assist in pricing decisions by providing margin data.
• Process supplier invoices in Xero, execute payment runs for onshore approval, and reconcile supplier statements.
• Seek out rebates, warranty claims, and early-payment discounts while upholding supplier bank-detail controls.
• Complete reconciliations for banks, credit cards, and intercompany transactions across business entities.
• Manage month-end closing tasks, including accruals, prepayments, and balance-sheet reconciliations.
• Generate monthly management packs that include P&L, budget versus actual outcomes, WIP, cash position, and profit commentary.
• Assist payroll operations in Employment Hero and prepare BAS, GST, and PAYG calculations for external-accountant review.
• Maintain finance standard operating procedures (SOPs) and ensure audit-ready documentation is in place.
• Develop KPI dashboards, financial models, budgets, forecasts, and scenario analyses.
• Conduct cost-control reviews and address ad hoc finance inquiries.
• Manage onboarding of new employees in Xero and map employees in simPRO for job costing purposes.
• Prepare weekly domestic-hours reports and reconcile fleet-card transactions with vehicle-tracking data.
• Route invoices, reimbursements, and receipts; record scrap-metal sales; and track invoices and contract renewals.
• Provide ongoing financial advice to the General Manager and owners prior to major decision-making.
• Bachelor’s degree in accounting, finance, commerce, or a related field.
• More than 5 years of finance or accounting experience, covering AP, AR, reconciliations, and month-end closing.
• Proficient working knowledge of Xero.
• Familiarity with Australian GST, BAS, and PAYG, or a demonstrated capacity to learn quickly.
• Exceptional written English skills and the ability to communicate clearly with non-finance managers.
• Advanced skills in Excel and Google Sheets.
• Strong attention to detail, integrity, and a commitment to documenting processes.
• Reliable internet connection and a suitable remote work setup, with a willingness to work required AEST overlap hours.
• Experience with simPRO or similar field service or job management software is a plus.
• Background in trades, construction, HVAC, or project-based industries is preferred.
• Experience with Employment Hero or knowledge of Australian payroll, superannuation, and award obligations is advantageous.
• Experience supporting Australian businesses from offshore locations is desirable.
• Familiarity with building dashboards and financial models is considered a plus.
