Finance Manager, Ecommerce Agency

This is a fully remote position, open to applicants in United States.

📋 Description

• Take ownership of and update the weekly P&L, ensuring accurate record-keeping of all income and expenses.

• Conduct weekly reconciliations within Xero, aligning transactions and addressing any discrepancies.

• Timely prepare and dispatch client invoices, following up until payments are received.

• Generate and send candidate invoices, collaborating with the Talent Acquisition team to guarantee billing precision.

• Oversee payment follow-ups for all outstanding invoices.

• Manage financial inboxes by triaging emails and responding or escalating as necessary.

• Monitor incoming and outgoing payments, alerting leadership to any anomalies.

• Maintain tidy and organized records within Xero and supporting tools like Airtable, ClickUp, and Notion.

• Work in coordination with Customer Success and Talent Acquisition to ensure alignment of billing with active placements and contracts.

• Create weekly financial snapshots and summary reports for internal evaluation.

• Actively identify and raise concerns regarding cash flow risks, overdue accounts, and irregularities.

• Exceptional written and verbal English skills — professional communication across all platforms.

• Proven experience with Xero (mandatory).

• Meticulous attention to detail — ensuring numbers consistently align.

• Experience in managing invoicing workflows, accounts receivable, and financial reconciliations.

• Ability to handle multiple financial tasks and deadlines simultaneously while maintaining accuracy.

• Highly organized with effective inbox and task management practices.

• Discreet and reliable in managing sensitive financial information.

• Comfort working remotely in a dynamic, lean team setting.

• Availability during European business hours (CET).

• A background in finance, accounting, bookkeeping, or a related discipline is a significant advantage.
