Finance Manager – Ecommerce Agency

This is a fully remote position, open to applicants in United States.

📋 Description

• Take ownership of the weekly P&L, ensuring that all income and expenses are accurately documented and kept current.

• Conduct weekly reconciliations within Xero, aligning transactions and addressing discrepancies before they escalate.

• Generate and dispatch client invoices punctually, following up assertively and professionally until payment is secured.

• Create and send candidate invoices, collaborating with the Talent Acquisition team to guarantee billing precision.

• Oversee payment follow-ups for all pending invoices.

• Supervise and manage financial inboxes, prioritizing emails and responding or escalating with urgency and accuracy.

• Monitor all incoming and outgoing payments, promptly highlighting any anomalies to leadership.

• Keep accurate and organized records within Xero and supporting tools such as Airtable, ClickUp, and Notion.

• Work in conjunction with Customer Success and Talent Acquisition to synchronize billing with active placements and contracts.

• Compile weekly financial snapshots and summary reports for internal assessment.

• Proactively identify cash flow risks, overdue accounts, and irregularities.

• Excellent written and verbal English — professional communication across all platforms.

• Demonstrated experience using Xero (a must).

• Meticulous attention to detail — numbers must consistently align.

• Experience in managing invoicing workflows, accounts receivable, and financial reconciliations.

• Ability to handle multiple financial tasks and deadlines simultaneously without sacrificing accuracy.

• Highly organized with effective inbox and task management skills.

• Discreet and reliable when dealing with sensitive financial information.

• Able to thrive in a remote, fast-paced, and lean team environment.

• Availability during European business hours (CET).

• A background in finance, accounting, bookkeeping, or a related field is highly advantageous.
