This is a fully remote position, open to applicants in Colorado.
• Oversee Technosylva's representation at trade shows and conferences focused on utilities and forestry, managing everything from strategy to wrap-up.
• Handle all aspects of event logistics, including booth selection and payment, contracts, promotional materials, speakers, utilities, and shipping.
• Choose and confirm event staff based on audience demographics, objectives, and coverage requirements.
• Ensure the availability of necessary collateral and promotional materials.
• Organize and oversee customer and prospect dinners.
• Establish workflows for lead capture and structured follow-up processes post-event.
• Manage logistics for the webinar program, including software, speakers, stakeholders, preparation meetings, notes, and follow-ups.
• Ensure tracking and recognition of attendees in HubSpot.
• Communicate event participation, timelines, and expectations to internal stakeholders.
• Act as the primary point of contact for Marketing, Sales, and Legal teams.
• Travel to selected events to oversee booth setup, staffing, and participation.
• Assist with badge scanning and conversation-capture processes.
• Configure event-specific lead forms, qualification questions, resources, and capture groups.
• Coordinate the transfer of attendee, lead, and interaction data into HubSpot.
• Resolve issues related to incomplete records, synchronization challenges, and unassigned follow-up actions.
• Define key performance indicators (KPIs) for events and monitor performance.
• Manage feedback from stakeholders, conduct debriefs, and facilitate retrospectives.
• Prepare post-event reports and recommendations for participation.
• Reconcile final invoices and actual costs against approved budgets.
• Archive assets for future use.
• A minimum of 2 years of experience in field marketing, event marketing, or trade show/conference management.
• Proven experience in coordinating hospitality events.
• Strong project management abilities, adept at balancing multiple deadlines and vendor relationships.
• Familiarity with and experience utilizing the latest AI technologies in workflows.
• Eagerness to learn about a new industry and collaborate with a fast-paced team.
• Exceptional written and verbal communication skills, including the ability to produce concise reports.
• Capability to define and report on program outcomes.
• Willingness and ability to travel 30-40% of the time, including occasional evenings and weekends, and work on-site at events.
• Experience with lead-capture tools and marketing/CRM platforms; HubSpot experience is highly preferred.
• Bachelor's degree in Marketing, Communications, Business, or a related field, or equivalent practical experience.
• Ability to stand for extended periods and lift or move event materials, typically up to around 25 lbs.
