This is a fully remote position, open to applicants in United States, +1 more country.
β’ Conduct research, assess, and propose tradeshows, conferences, and industry events that align with the Ideal Customer Profile (ICP) and revenue objectives.
β’ Maintain an ongoing 12-month event calendar.
β’ Build and manage relationships with event organizers, vendors, and locations.
β’ Negotiate sponsorship deals, booth space, speaking opportunities, and additional services.
β’ Plan and execute events comprehensively, covering booth design and logistics, promotional items, marketing materials, lead capture, badge scanning, audiovisual needs, catering, hotel accommodations, and team travel arrangements.
β’ Attend each event in person and act as the primary on-site contact.
β’ Set up and dismantle booths while resolving issues in real-time.
β’ Provide briefings to team members attending the events on objectives, key messages, target accounts, and logistics.
β’ Collaborate with the sales team to schedule pre-show meetings, organize dinners and customer events, and ensure leads are captured, qualified, and followed up on efficiently.
β’ Execute pre- and post-event campaigns with the marketing team, including email outreach, landing page creation, paid promotions, and social media engagement.
β’ Oversee event expenditures, monitor costs, accurately forecast budgets, identify risks, and make informed trade-off decisions.
β’ Establish event KPIs and generate post-event reports that analyze leads, meetings, pipeline, ROI, and areas for improvement.
β’ Work closely with sales, marketing, and product teams to transform event activities into meetings, opportunities, and revenue.
β’ 1 to 4 years of experience in event marketing, field marketing, or event coordination, preferably in the B2B or technology sectors.
β’ Proven experience in organizing events from start to finish, even on a smaller scale.
β’ Background in managing event budgets, including forecasting, monitoring expenses, and making ROI-driven trade-offs.
β’ Proficiency in defining KPIs and creating reports that link event activities to pipeline and revenue.
β’ Demonstrated experience using AI to enhance or automate tasks as an event marketer; this is essential.
β’ Familiarity with HubSpot.
β’ Strong project management capabilities across timelines, budgets, vendor management, and various moving components.
β’ Comfortable negotiating with vendors and event planners.
β’ Exceptional written and verbal communication skills.
β’ Ability to remain calm under pressure and solve problems effectively during events.
β’ Willingness and ability to travel 30 to 50% during peak event seasons in North America, with potential travel to Europe as the company expands.
β’ Must reside within approximately one hour of a major airport hub with frequent direct flights.
β’ Must possess the legal right to work in the country of residence; visa sponsorship is not available.
