Executive Sales, Client Experience Assistant

This is a fully remote position, open to applicants in New York.

📋 Description

• Oversee, cleanse, and systematize extensive client and prospect contact databases.

• Conduct research on agencies, brands, and industry contacts.

• Ensure contact details are accurate and continually updated.

• Develop and maintain structured Google Sheets.

• Prepare client invitations and oversee distribution lists.

• Organize client events and experiences.

• Handle guest lists, RSVPs, reminders, and post-event follow-ups.

• Compose warm, inviting emails, invitations, and communications.

• Manage calendars, scheduling, and meeting arrangements.

• Keep track of sales follow-ups and pending action items.

• Assist in organizing prospecting and client outreach efforts.

• Ensure project continuity and prevent any tasks from being overlooked.

• Foster creative ideas to enhance client engagement and relationship building.

• Anticipate future needs and proactively assist the client in staying ahead.

• Ensure contact lists are maintained, calendars are organized, invitations are precise, events run smoothly, and follow-ups are executed.

• Aid the client in cultivating relationships, creating memorable experiences, expanding the business, and making data accessible.

• Proficient in written and spoken English.

• Advanced skills in Google Sheets.

• Proficient in Google Workspace.

• Strong skills in online research.

• Experience in calendar and scheduling management.

• Exceptional attention to detail.

• Experience in handling contact lists and data management.

• Strong organizational and project management abilities.

• Highly organized and detail-oriented.

• Proactive and comfortable taking initiative.

• Resourceful with effective problem-solving skills.

• Upbeat, positive, and inquisitive attitude.

• Confident in asking questions and making suggestions.

• Capable of managing multiple tasks while remaining calm and organized.

• Takes pride in delivering polished and accurate work.

• Interested in becoming a genuine partner rather than merely completing assigned tasks.

• Experience as an Executive Assistant or in senior sales support is particularly valuable.

• Background in sales or business development support is especially beneficial.

• Experience in advertising, media, marketing, or agency work is highly valued.

• Experience in client relationship management is especially important.

• Event planning or coordination experience is especially advantageous.

• CRM experience is particularly valuable.

• Experience with LinkedIn prospect research is a plus.

• Familiarity with Canva or presentation tools is beneficial.

• Some overlap with Eastern Time (New York) may be necessary.

• Minimum availability of 10 hours per week.
