This is a fully remote position, open to applicants in Illinois.
• Report to an RSVP, National Accounts, and provide support to 1 RSVP and 1 Director.
• Act as the primary point of contact for general inquiries within the department, prioritizing incoming emails, phone calls, and visitors.
• Oversee the leader's schedule through strategic and proactive calendar management.
• Handle meeting invitations, presentation materials, meeting notes, action items, audio, online content, attendee inquiries, technical/logistical troubleshooting, and follow-up tasks.
• Anticipate potential challenges and propose solutions and process enhancements.
• Coordinate logistics and event planning for leadership meetings, including selecting venues, catering, scheduling, and providing on-site support.
• Utilize knowledge of company policies, procedures, and operations.
• Organize domestic and international travel logistics and necessary documentation.
• Draft, revise, proofread, and distribute memos, reports, PowerPoint presentations, SharePoint updates, surveys, organizational charts, and records.
• Co-manage the department’s SharePoint site.
• Maintain and order supplies for the department while managing the related budget.
• Engage in relevant departmental projects and provide support/training to other Administrative Business Partners when required.
• Monitor departmental expenses and address or reconcile discrepancies in general ledger budget accounts.
• Assist with onboarding and offboarding processes for team members within the department.
• 3+ years of prior experience as an Administrative Assistant, supporting management.
• Bachelor's degree or equivalent experience.
• Proficient in communicating essential information clearly, both verbally and in writing.
• Capable of proofreading documents for accurate grammar, spelling, and punctuation.
• Proactive mindset with experience managing complex administrative tasks and determining the best course of action in non-routine scenarios.
• Comprehensive understanding of business operations, organizational structures, and relationships at various management levels.
• 3+ years of experience in enhancing operational efficiency.
• Ability to quickly learn various software applications.
• Familiarity with reporting automation tools is advantageous.
• Willingness to travel up to 10% of the time annually.
