This is a fully remote position, open to applicants in New York.
• Execute general administrative tasks such as data entry, filing, copying, scanning, and document preparation.
• Oversee calendars and schedules, coordinate meetings, and manage logistics for team activities.
• Answer phone calls, direct inquiries, and respond to routine emails.
• Create basic reports, correspondence, and presentations utilizing standard templates.
• Order office supplies and ensure the organization of the office environment.
• Deliver customer service support to both internal and external stakeholders.
• Uphold the mission and values of the Lifetime Healthcare Companies, along with the Corporate Code of Conduct and Lifetime Way values and beliefs.
• Safeguard member privacy in compliance with corporate privacy policies and procedures.
• Maintain consistent and reliable attendance.
• Execute additional functions as assigned by management.
• Level II: Oversee complex calendars, meeting invitations, conference arrangements, travel accommodations, and appointments for leadership.
• Level II: Draft, review, and format correspondence, reports, and presentations.
• Level II: Monitor deadlines, follow up on action items, and maintain departmental records.
• Level II: Assist in budgeting, expense reporting, and invoice processing.
• Level II: Organize on-site and off-site meetings and coordinate audio-visual equipment and related resources.
• Level II: Manage onboarding logistics and training schedules.
• Level II: Act as a liaison between the department and other internal teams.
• Level II: Identify opportunities for process improvements and suggest more efficient workflows.
• Level II: Handle sensitive and confidential information with discretion.
• High School Diploma (HSD) or General Educational Development (GED) is required.
• Preferred experience in administrative, office support, or customer service roles.
• Basic understanding of office procedures and administrative practices.
• Proficiency in basic office software (Word, Outlook, Excel).
• Ability to communicate effectively, both verbally and in writing.
• Basic capability to prioritize tasks with minimal supervision.
• Fundamental customer service, problem-solving, and time management skills.
• Understanding of confidentiality and professional workplace conduct.
• Basic critical thinking skills.
• Intermediate attention to detail.
• Ability to adhere to established procedures, policies, and workflows.
• Level II: Minimum of two years of administrative or related experience required.
• Level II: Associate degree in a relevant field or completion of administrative coursework preferred.
• Level II: Intermediate proficiency in Microsoft Office and collaboration tools (Teams, SharePoint, etc.).
• Level II: Intermediate skills in organization, time management, and problem-solving.
• Level II: Ability to juggle multiple priorities with minimal oversight.
• Level II: Professional communication and interpersonal skills.
• Level II: Basic analytical skills for tracking data, expenses, and reports.
• Level II: Intermediate knowledge of departmental or corporate administrative processes.
• Level II: Basic understanding of budgeting, expense management, and reporting.
• Level II: Familiarity with project coordination or workflow tracking.
• Ability to work for extended periods sitting and/or standing at a workstation and using a computer.
• Willingness to travel across the Health Plan service region for meetings and/or training as required.
• Capacity to work in a home office for extended periods for business continuity purposes.
• Ability to hear, comprehend, and speak clearly while using a phone or video call, with or without a headset.
