This is a fully remote position, open to applicants in United States.
• Conduct a daily scrum at 8:00am with the owner: prepare the agenda, identify obstacles, make decisions, and ensure follow-through.
• Participate in weekly P&L discussions and property team meetings; provide a structured recap within 24 hours that includes numbers, commitments, and issues.
• Keep an action list for all properties, monitor owners and deadlines, and follow up mid-week.
• Execute biweekly payroll by reconciling schedules, time punches, and approved changes; detect missed punches, unapproved overtime, and errors in tip reporting.
• Manage the inbox and calendar for both companies; prioritize requests, address relevant items, and prepare meeting notes.
• Develop and maintain a compliance and renewals calendar for licenses, inspections, insurance, certifications, entity filings, and software subscriptions.
• Create a reporting package every Monday morning that includes property status, items that are off-track, and decisions that need to be made.
• Maintain a decision log for quick access to previous decisions.
• Provide support to the owner for a multi-unit hospitality group and an expanding B2B software company.
• Minimum of 3 years of experience in executive support, operations coordination, or management in multi-unit restaurant or retail settings (preferred).
• Comfortable interpreting a P&L: understanding food cost, labor percentage, and prime cost at a glance; while accounting expertise is not required, operational fluency is essential.
• Hands-on payroll experience in a multi-location or hourly workforce environment.
• Organized in a manner that is apparent to others: your systems are effective even when you are not present.
• Capable of holding a General Manager accountable to commitments without being overly authoritative — this role relies on credibility and persistence rather than direct authority.
• Highly discreet: will have access to financial, compensation, and personnel matters across all properties and both companies.
• Available and prepared at 8:00am EST every day.
