This is a fully remote position, open to applicants in California.
• Oversee intricate, high-volume calendars and scheduling across various time zones, proactively addressing conflicts and prioritizing based on business significance.
• Prepare, synthesize, and proofread materials for operational reviews, leadership meetings, and cross-functional collaboration sessions.
• Arrange domestic and international travel, including comprehensive itineraries and contingency plans.
• Act as a vital link between the executive and internal stakeholders across Operations, Finance, Legal, and other business units, using discretion to determine what requires escalation.
• Monitor and follow up on action items and deliverables from operational and leadership meetings, ensuring accountability among stakeholders regarding deadlines.
• Compose and oversee correspondence, communications, and documentation that necessitate a high degree of professionalism and discretion.
• Assist in planning and logistics for leadership offsite events, team meetings, and operational business reviews.
• Maintain organized and confidential records and documentation pertaining to operational initiatives.
• Anticipate the executive’s needs and efficiently manage competing priorities with minimal supervision.
• Exercise utmost discretion in managing sensitive business, personnel, and operational information.
• Bachelor’s degree is preferred; equivalent professional experience will also be considered.
• A minimum of 10 years of experience supporting C-suite or senior executives, preferably within operations, consulting, or a high-growth corporate setting.
• Proven ability to handle complex calendars, logistics, and competing priorities with little oversight.
• Outstanding written and verbal communication skills, with the capacity to accurately represent the executive’s voice and priorities.
• Strong business acumen and comfort in navigating ambiguous, fast-paced environments.
• High level of discretion, professionalism, and sound judgment in managing confidential information.
• Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and scheduling/collaboration tools.
