This is a fully remote position, open to applicants in United States.
• Oversee and prioritize the VP’s schedule, including meetings and participants.
• Collaborate with the communications team to coordinate the VP’s speaking engagements.
• Organize and plan meetings, ensuring the preparation of agendas, venues, meeting technologies, and logistics.
• Create meeting briefing documents, distribute notes, and compile post-meeting action-item lists.
• Develop travel briefing packs for international journeys and significant domestic events.
• Assist with communications and approvals as an authorized representative.
• Address general inquiries, redirect routine issues, and follow up on resolutions.
• Troubleshoot issues adhering to established policies and guidelines.
• Guide administrative community members in problem-solving techniques.
• Assess when executive intervention is necessary and offer recommendations.
• Arrange comprehensive global travel plans and enhance itineraries.
• Manage Cisco travel expenses and facilitate airline upgrades when possible.
• Provide analytical assistance for special executive projects.
• Investigate issues, evaluate challenges, compile data, and generate reports.
• Prepare and brief itineraries and accompany the VP at major corporate events.
• Handle sensitive and confidential matters and documents with professionalism.
• Offer ad-hoc support to senior directors within the team.
• Minimum of 4 years of experience in an administrative setting.
• At least 2 years of experience supporting a principal at the director level or higher.
• Proficient in Windows desktop applications: Outlook, Word, Excel, and PowerPoint.
• Background in calendar management, meeting planning, and travel coordination.
• Excellent verbal and written communication abilities.
• Capability to engage with executive/senior staff and clients effectively.
• Experience providing support at the VP level.
• Strong interpersonal skills and the ability to exercise independent judgment.
• Highest level of integrity.
• Ability to balance strategic initiatives with tactical actions.
• Exceptional attention to detail.
• Competence in managing confidential information.
• Preferred: previous experience in the high-tech sector.
• Preferred: past experience with Cisco.
• Preferred: an associate degree.
