
Executive Assistant β Special Projects Manager

This is a fully remote position, open to applicants in Florida.
β’ Deliver high-level administrative assistance to members of the Executive Leadership Team, including managing calendars, scheduling, and prioritizing time effectively.
β’ Organize and prepare materials for ELT, Board, and cross-functional leadership meetings.
β’ Manage incoming requests and communications in accordance with organizational priorities.
β’ Draft, edit, and enhance executive communications.
β’ Coordinate intricate travel arrangements, logistics, and engagements at the executive level.
β’ Lead and facilitate weekly ELT meetings, monthly business reviews, and quarterly planning cycles (IBP).
β’ Ensure cohesive alignment across functions regarding priorities, deliverables, and timelines.
β’ Monitor initiatives and follow-ups, ensuring teams are held accountable for their commitments.
β’ Assist in creating executive-level dashboards, one-pagers, and updates for the board.
β’ Spearhead cross-functional projects such as organizational transformation, cost optimization, and retail performance initiatives.
β’ Develop and oversee project plans, timelines, and communications with stakeholders.
β’ Identify risks, provide insights, and drive solutions in collaboration with functional leaders.
β’ Act as a central coordination point among ELT members and their respective teams.
β’ Communicate decisions, priorities, and updates clearly and promptly.
β’ Facilitate alignment between enterprise functions and state-level teams.
β’ Uphold professionalism and confidentiality in all interactions.
β’ Must be 21 years of age or older.
β’ High School Diploma or equivalent qualification required.
β’ A 4-Year Business Degree is mandatory.
β’ Valid Government-Issued Photo ID is necessary.
β’ 5β10+ years of experience in executive support, consulting, business operations, or project management is essential.
β’ Proven experience supporting multiple senior executives or leadership teams in a dynamic environment.
β’ Strong business acumen with the capability to comprehend financial and operational drivers.
β’ Outstanding organizational and time management skills with a keen attention to detail.
β’ Demonstrated ability to manage competing priorities and execute tasks with speed and accuracy.
β’ Advanced proficiency in Microsoft Office (PowerPoint, Excel, Outlook) and collaboration tools is required.
β’ Experience in highly regulated industries such as cannabis, healthcare, or CPG is advantageous.
β’ Must be available to work typical business hours Monday through Friday and weekends as required.
β’ Candidates outside Florida must work East Coast hours.
β’ Capability to work in an office setting, move around the office, use standard office equipment, lift up to 25 pounds, and travel domestically as necessary.
