This is a fully remote position, open to applicants in Philippines, +5 more countries.
• Transform the CEO’s priorities into actionable plans, clearly defining owners, deadlines, and follow-up actions across various businesses.
• Ensure crucial projects progress by identifying obstacles, coordinating with stakeholders, and verifying that commitments are fulfilled.
• Establish and maintain systems for monitoring projects, decisions, deadlines, open inquiries, and executive follow-ups.
• Oversee hiring initiatives, encompassing job postings, candidate sourcing, screening, interviews, communication, and onboarding processes.
• Convert ideas and verbal requests into structured briefs, documents, workflows, and assignments.
• Foster alignment between the CEO and various teams across operations, finance, marketing, sales, recruiting, e-commerce, and other departments.
• Anticipate operational requirements, identify risks early, and resolve routine issues prior to the need for CEO involvement.
• Equip the CEO for meetings and decisions by organizing relevant context, documents, updates, and outstanding questions.
• Manage executive logistics, including scheduling, travel arrangements, reservations, communications, and time-sensitive requests.
• Minimum of 3 years of experience in executive assistance, executive operations, project coordination, operations support, or a comparable role.
• Experience collaborating directly with a CEO, founder, entrepreneur, or senior business executive.
• Strong project ownership skills, with the ability to manage multiple priorities and follow through independently without repeated reminders.
• Exceptional written and verbal communication skills in English.
• Demonstrated ability to research unfamiliar topics, assess options, and present information clearly.
• Sound judgment, discretion, and professionalism when addressing sensitive business and personnel issues.
• Proficient in using Google Workspace, Slack, spreadsheets, project management tools, and modern AI or productivity applications.
• Experience supporting an executive overseeing multiple businesses, departments, or complex initiatives.
• Familiarity with supporting distributed teams operating across different countries or time zones.
• Knowledge of e-commerce, professional services, staffing, marketing, or other multi-functional business environments.
• Proven experience enhancing internal processes, trackers, documentation, or executive operating systems.
• A globally distributed work setting that values initiative, dependable follow-through, and results over unnecessary activity.
• Full-time remote role.
• Monday to Friday during U.S. business hours.
