This is a fully remote position, open to applicants in New York.
• Delivers comprehensive daily executive administrative support to senior leadership and/or divisions.
• Anticipates requirements, proactively prioritizes tasks, and independently resolves issues.
• Manages intricate calendar schedules, company-sponsored travel, and executive communications.
• Recognizes risks, identifies gaps, and spots opportunities for process improvements while offering recommendations.
• Prepares leaders for internal and external executive committee meetings by reviewing agendas and minutes, coordinating preparation time, tracking decisions and action items, issuing post-meeting summaries, and collaborating with administrative stakeholders.
• Coordinates and provides administrative leadership for executive committee meetings, including managing agendas, materials, scheduling, logistics, minutes, and follow-through.
• Prepares and edits complex reports, presentations, and briefing materials.
• Ensures post-meeting follow-through and sustains momentum during the executive's absence.
• Leads or coordinates special projects within the division, cross-functional initiatives, and projects specific to senior leaders.
• Organizes on-site and off-site meetings, along with audio-visual equipment and other necessary resources.
• Provides executive-level support to key officers as required.
• Collaborates with and trains divisional administrative staff on office protocols and procedures.
• Develops and documents effective administrative processes and best practices.
• Serves as a trusted advisor on scheduling, communication, and operational matters.

• Ensures member privacy is maintained in accordance with corporate privacy policies and procedures.
• Maintains consistent and reliable attendance.
• Performs additional tasks as assigned by management.
• A minimum of five (5) years of progressive administrative or related experience.
• High School Diploma (HSD) or GED is required.
• A Bachelor's degree in a relevant field is preferred.
• Advanced proficiency in Microsoft Office and collaboration tools (Teams, SharePoint, AI Agents, etc.).
• Intermediate skills in organization, planning, and critical thinking.
• Advanced knowledge of customer service, problem-solving, time management, and customer relations.
• Strong communication and stakeholder management skills at the senior leader level.
• Capability to handle highly confidential information and sensitive situations.
• Leadership and mentoring skills.
• In-depth understanding of organizational structure, policies, and decision-making processes.
• Intermediate knowledge of project management principles and process improvement.
• Proven ability to act on behalf of the Senior Leader within understood boundaries.
• Exceptional attention to detail.
• Willingness to travel across the Health Plan service region for meetings and/or training as necessary.
• Ability to work for extended periods while sitting and/or standing at a workstation and using a computer.
• Ability to hear, comprehend, and communicate clearly over the phone or video calls, with or without a headset.
