This is a fully remote position, open to applicants in Florida, +1 more state.
• Provide support to two senior leaders in the areas of Talent Acquisition, Workplace Experience, and Compensation.
• Act as a strategic partner and primary point of contact for executives.
• Collaborate with executives, recruiting operations, candidates, fellow assistants, employees, vendors, and clients.
• Manage coordination across global time zones, prioritize tasks, and enhance meetings and communications.
• Oversee complex, high-volume calendars and resolve scheduling conflicts.
• Develop agendas and organize team Town Halls.
• Prepare leaders for meetings with minimal guidance.
• Arrange and optimize intricate global travel logistics, including flights, routes, accommodations, and ground transportation.
• Collect business-related receipts and process expense reports.
• Plan, coordinate, and manage logistics and budgets for team off-sites and special events.
• Monitor tasks, deadlines, and action items; anticipate needs and identify potential risks.
• Review and edit documentation, presentations, and spreadsheets.
• Report directly to Unity's Manager, Executive Assistant.
• Minimum of 4 years experience supporting senior executives in high-growth, fast-paced environments.
• Exceptional communication skills and relationship-building capabilities; demonstrated cross-functional influence and alignment.
• Proficient in calendar management and priority setting across global time zones.
• Advanced skills in global travel coordination and comprehensive Travel and Expense management, including multi-country, multi-currency, and adherence to policy compliance.
• Experienced in event planning and logistics for on-site and off-site events, including venue selection, vendor management, AV, catering, and budgeting.
• High integrity, discretion, and sound judgment in handling confidential information.
• Proactive, organized, and deadline-oriented; excels in ambiguous situations and collaborative environments.
• Proficient in Google Workspace and Microsoft Office.
• Comfortable using Slack, Workday, and expense management platforms; quick to adapt to new tools.
• Advanced expertise in Google Workspace, Microsoft Office, Slack, and Workday.
• Experience managing complex multi-country expense reports.
• Familiarity with tools like Claude or Gemini to enhance task optimization.
• Proven track record in creating or improving administrative processes and driving cross-functional initiatives and alignment of goals.
• Experience supporting multiple executives and managing meetings across various time zones.
• Willingness to work outside of the local time zone when necessary.
• Experience organizing team social gatherings.
• Adequate proficiency in English for professional verbal and written communication.
