This is a fully remote position, open to applicants in United States.

📋 Description

• Oversee projects and related activities that assist the COO and executive operations on a global scale at QAD.

• Provide support for ad hoc analysis and the preparation of documentation.

• Develop content and carry out communication tasks.

• Manage intricate executive calendars across various time zones.

• Organize meeting requests and prioritize the schedules of executives.

• Prepare and submit expense reports for executives.

• Draft correspondence, presentations, and documents, including sensitive communications.

• Arrange domestic and international travel, including itineraries, visas, accommodations, and logistics.

• Create agendas, briefing materials, and documentation for meetings.

• Coordinate internal and external meetings, managing reminders, logistics, and content.

• Handle executive correspondence and follow up on action items.

• Monitor executive action items to ensure they are completed.

• Manage calendars, meeting requests, budgets, and travel expenses.

• Serve as a point of contact between executives, employees, and external partners.

• Collaborate closely with FP&A.

• Foster relationships with fellow Executive Assistants and key stakeholders.

• Identify and implement process enhancements or AI-driven improvements.


⛳️ Requirements

• Minimum of 3 years of experience in executive support or administrative support roles.

• Experience supporting C-level executives in a dynamic, global organization is highly preferred.

• Strong skills in project coordination.

• Exceptional organizational skills with the ability to prioritize multiple tasks while maintaining excellent attention to detail.

• Strong analytical capabilities.

• Ability to work both independently and collaboratively as part of a team.

• Capacity to manage confidential information with discretion.

• Excellent verbal and written communication skills in English.

• Proficient in Microsoft Office, including Outlook, Excel, and PowerPoint.

• Advanced skills in Google Workspace, including Gmail, Google Calendar, Google Docs, Google Sheets, Google Slides, Google Drive, and Google Chat.

• Familiarity with Google Meet and Microsoft Teams.

• Strong time management abilities.

• Ability to work across different time zones.

• Trustworthy, professional, discreet, calm under pressure, proactive, resourceful, adaptable, dependable, and detail-oriented.
